THE OPPORTUNITY

Do you enjoy a challenge in a fast-paced environment? The Facilities and Procurement Department within eHealth is seeking a skilled, analytical, and detail-oriented individual with excellent communication skills for a Facilities Coordinator position.
Facilities coordinator will be reporting to the Manager of Facilities Services. Facilities coordinator will oversee all activities inside a building, making sure that safety standards are met, and arranging building maintenance with the building operator when needed. Coordinating with external vendors. accommodation projects such as office relocations, office renovations. Acting as the Chief Fire Marshall for the building.

TO QUALIFY FOR THIS POSITION, YOU WILL HAVE KNOWLEDGE AND/OR EXPERIENCE IN THE FOLLOWING:

  • Bachelor’s Degree or Diploma in Business Administration or a related field will be a plus.
  • Additional certification as a facility manager (CFM) will be a plus.
  • Must have 2+ years of progressive experience working in a similar role within an integrated support environment, with a strong understanding of facility management and best practices.
  • Strong knowledge of facilities property management, leasing practices.
  • Knowledge and understanding of government policies and procedures.
  • Knowledge of Occupational Health & Safety (OHS) standards in an office.
  • Proficiency with Microsoft Office, Excel, Outlook, Teams, Webex, creating PDF documents.
  • An equivalent combination of education and experience may be considered.

Responsibilities:

  • Liaise with landlord regarding all facility related issues for 20,468 square feet.
  • Procure services required to maintain the organization’s facilities.
  • Leads accommodation projects such as office relocations, office renovations.
  • Conducts space planning by preparing space design options, furniture, and equipment to improve the appearance and utilization of office.
  • Coordinates asset acquisition by advising staff on product information and recommending the purchase and disposal of furniture and equipment.
  • Ergonomic Assessments
  • Coordinate the organization’s parking space requirements, maintain databases for parking.
  • Oversees the work of contractors, monitors performance and resolves technical issues and/or completes repairs.
  • Coordinate the deliveries requiring use of loading docks and freight elevators.
  • Act as eHealth’s Chief Fire Marshall and the coordinator of the annual Fire Drill.
  • Ensure all emergency equipment is maintained.
  • Maintain records for training and certification regarding facilities and safety.
  • Work with Security to ensure access to the facility when required and all safety protocols are adhered to.
  • Prepare documents to support recommendations and briefings as required.
  • On call for evenings and weekends, and extended hours due to workload, may also be required.
  • Travel to surrounding locations that eHealth employees are in, such as various Hospitals in Saskatoon, Prince Albert.
