Description:

Newmark are seeking a Facilities Coordinator, to join our Netherlands team and provide facilities and office support to a 7,000sq ft corporate co-working office in Utrecht, Netherlands.

The Facilities Coordinator is responsible for delivering office management services ensuring the efficient operation of the office environment, which doubles as a showroom and co-working space. The Facilities Coordinator will maintain an organized, welcoming, and functional workspace for all users and visitors.

  • Single Point of Contact Management: Provide a consistent and reliable point of contact for all users and visitors, managing inquiries, facility-related invoicing, and reservation assistance.
  • Reception Services: Oversee front desk operations including guest welcome and direction, management of entry procedures, and liaison with security services for visitor announcements.
  • Event and Meeting Coordination: Organize and facilitate office events, meetings, and conferences, including logistics, scheduling, and resource allocation.
  • Office Maintenance and Cleaning Services: Coordinate cleaning schedules and maintenance activities to ensure office spaces, including meeting rooms and communal areas, are well-maintained and presentable.Mailroom and Deliveries Management: Handle the processing of incoming and outgoing mail and parcels, ensuring timely distribution and dispatch.

SKILLS, EDUCATION AND EXPERIENCE:

  • Degree or further education in business administration, facilities or related field desirable
  • Strong organizational and multitasking abilities.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite and office management software.
  • Ability to manage time effectively and prioritize tasks.
  • Strong interpersonal skills with the ability to create a welcoming atmosphere
  • Office management or a related role.
  • Experience coordinating events and managing office facilities is preferred.
  • Prior experience in a technology or hardware company is a plus.Prior experience in facilities or property management is a plus.
