ABOUT YOU

  • Previous experience using SAP would be beneficial along with understanding BMS systems
  • Qualified in IOSH, NEBOSH or any industry standard HS and/or Environmental qualification desirable

Responsibilities:

  • A 12 month Fixed Term Contract providing a wide range of departmental activities, working closely with colleagues, outsourced providers, and contractors to ensure smooth management and operation of the Facilities department at Kia UK Limited, ensuring all staff and visitors receive the best possible service from the department.
  • Responsible for supporting the business in the co-ordination of Carbon reduction aims as well as supporting the Facilities Manager with day-to-day operations;
  • Organise repairs maintenance tasks at Kia’s properties, mainly head office
  • Assist in monitoring the security of the office and the office environment, ensuring it is presented in the best possible way and safe for staff/visitors
  • Support HS tasks including DSE assessments, PAT testing, risk assessments, audits
  • Respond to Insurance requests including Insurance claims, support renewals as well as event requirements from staff and external personnel.
  • Assist in the management of Front of House team, deputising for Facilities Manager with Catering, Cleaning, Security and other outsourced providers
  • Assisting in the maintaining of facilities systems including Microsoft Visio, Avigilon, ACT Manage, BMS systems
  • Processing of purchase orders and expenses through SAP with understanding of expenditure and annual budget allocation
  • Support fit-out, reorg and construction projects with start to end management as required
  • Work collaboratively with various departments on projects, including tasks associated with hosting events
  • Liaise with external facilities management providers such as utility providers, local authorities for Head Office and other sites
  • Support property management processes such as rent reviews, business rates, service charge matters, tenants improvements, lease obligations, site inspections, commercial agents liaisons etc.
  • Support the business with increased declarations required by external supplier and customers regards Net Zero commitments and plans
  • Greenhouse Gas Consumption reporting management for all KUK sites, including Scope 1,2 and 3 energy usage allocation
  • Lead accreditation for ISO 14064 BEMS enhancements
  • Co-ordination of Carbon Literacy feedback/actions in to timetable of achievable
