JOB PURPOSE:
CBRE Global Workplace Solutions is a leading global provider of integrated facilities and corporate real estate management. We are recruiting a Receptionist Workplace Coordinator to join the team located in London.
The successful candidate will be responsible for providing the operational delivery of all Facility Management services and ensure that customer satisfaction is maintained at the highest level by providing a high quality and pro-active service in the client’s facility. To ensure effective communication with client, peers, building tenants and management at all times.
KEY TASKS:
- Provide formal supervision to employees. Monitor the training and development of staff. Conduct performance evaluations and coaching. Oversee the recruiting and hiring of new employees.
- Schedule and manage the team’s daily activities. Establish work schedules, assign tasks, and cross-train staff. Set and track staff and department deadlines. Mentor and coach as needed.
- Coordinate and manage facility repairs and maintenance by working with technicians, vendors, and contractors.
- Maintain positive client relationships and conduct meetings on unresolved facility issues.
- Prepare and manage capital projects, operating budgets, and variance reports.
- Manage environmental health and safety procedures for facilities.
- Oversee vendor relationships and invoicing procedures. Review price quotes for the procurement of parts, services, and labour for projects.
- Conduct process and procedure training on maintenance, repairs, and safety best practices.
- Lead by example and model behaviours that are consistent with CBRE RISE values. Influence parties of shared interests to reach an agreement.
- Apply knowledge of own discipline and how own discipline integrates with others to achieve team and departmental objectives.
- Identify, troubleshoot, and resolve day-to-day and moderately complex issues which may or may not be evident in existing systems and processes.
- Suggest operational efficiencies, repairs, and upgrade opportunities.
- Carry out monthly workplace inspections and record it in logbooks
- Coordination of site inductions, permit to work, Authority to work
- Liaise with Landlord to ensure overall service to users in the building is maintained.
- Liaise with site contact/client on a regular basis, reporting any issues and concerns in a timely manner to the management team.
- Be in charge of the CBRE log books
