Description:

Join us as a Facilities Officer at Torus Group! This is a permanent role based in Warrington with occasional travel to other locations.
The Facilities Officer will support the Facilities Manager (Hard FM) and Senior Facilities Officer in maintaining top-notch office environments. Your role ensures our spaces are safe, modern, and efficient. You’ll organise maintenance, liaise with suppliers and contractors, and support office renovations and moves.
We are looking for someone with strong customer service, communication skills, and experience managing contracts. You’ll handle consumable orders, seasonal tasks, and ensure health and safety compliance.
As a Facilities Officer, you’ll keep Torus offices running smoothly. Your duties include maintenance, safety checks, supplier engagement, budget management, and coordinating office projects. You’ll also help meet KPIs, verify certifications, manage costs, and schedule tasks using our Asset Management System.

SKILLS & EXPERIENCE:

  • Level 3 qualification in Facilities Management or equivalent, or willing to work towards with relevant experience in a similar setting/role.
  • Evidence of and commitment to continual professional, leadership and personal development.
  • Experience in a facilities or Asset management position within a large, multi-office organisation at a similar level.
  • Knowledge and experience of operational delivery and assurance requirements, that has been gained through relevant experience delivering services.
  • Demonstrates a commitment to H&S to ensure safe operations and environment for staff and customers.
  • High levels of IT literacy

Responsibilities:

  • Support all facilities subject matters, ensuring effective communication with the wider business and teams.
  • Planning, and implementing effective FM procedures, document control in line with appropriate management systems, development of specifications and the evaluation of innovative technologies.
  • Upkeep of the office estate register.
  • Support the Facilities Manager (Hard FM) with energy efficiency reporting and data such as the annual Shift Assessments.
  • Ensure that office sites are managed and supported in an efficient and timely manner and maintained in a condition appropriate to their use.
  • Ensuring that Premises Health and Safety requirements are understood and that they are being adhered to.
  • Support corporate office related projects.
  • Support the Facilities Manager (Hard FM) on all FM business planning activities.
  • Maintain accurate files relating to FM functions and contracts for the building/s for legislation and core works.
  • Manage and monitor contractor’ working in the office environment and maintain maintenance schedules, challenging an incident of poor workmanship, untimely delivery, and inflated costs.
  • Reviewing incoming invoices from suppliers and ensuring discrepancies are challenged.
  • Undertake regular building inspections and take proactive action on any issues that may arise.
  • Ensure all surveying / inspection, servicing and maintenance programmes are coordinated in an effective manner with other teams and that proactive solutions are implemented to ensure effective planning and delivery.
  • Continuously improve the scope and quality of service delivery standards.
  • Ensure works are delivered to SLA (supporting Performance Indicators) for the FM function.
  • Support the ongoing maintenance and upkeep of operational guidance, processes, and procedures for all FM activities.
  • Support with KPI (Key Performance Indicators) reports and ensure that there is a robust audit trail to support the reported results.
  • Ensure Compliance for applicable offices and sites with the big 6 and by working with the compliance team to support with access and completion of legislative compliance safety checks on time.
