    As a Facility Administrator you will contribute to provide high level facility administration, ensuring that the day to day operation of the Kalkallo Community Centre is undertaken and delivered along with providing high level customer service to members of the public and internal customers in a timely, professional and effective manner in accordance with agreed performance standards and service expectations.

Responsibilities:

WHAT YOU’LL BE DOING:

  • Ensure effective and efficient day-to-day administration of the Kalkallo Community Centre as per the Operational Manual and associated procedures.
  • Ensure the facility is maintained and well presented to a high standard and any maintenance and cleaning issues are dealt with promptly through liaison with the appropriate department.
  • Administer the centre’s booking system, including point of contact enquiries and administration of accounting processes.
  • Compile reports and prepare external correspondence as delegated by the Community Centre Leader.
  • Utilise databases to support data collection of facility users and the creation of reports.
  • Work in collaboration with the Community Centre Leader to ensure the facility is an accessible, inclusive and well activated space.
  • Manage customer service requests, complaints, general enquiries and transactions (where appropriate).
  • Help promote and support the participation of a wide range of community and centre tenants in the facility and Council programs through collaborative approaches.
  • Assist the Community Centre Leader to deliver community events and activities within the facility.
  • Work in collaboration with facility tenants, user groups and hirers to ensure WHS requirements, risk management, security and the emergency evacuation procedures and processes are undertaken and maintained.

THE SKILLS AND EXPERIENCE YOU’LL BRING TO THE ROLE:

  • Relevant qualification and demonstrated high level administrative/reception and customer service skills within a community setting.
  • Demonstrated experience, understanding and commitment to community development practice and principles.
  • Demonstrated experience in the day-to-day administration of a facility.
  • Demonstrated ability to communicate both verbally and in written form to a broad range of people from diverse backgrounds and cultures with an ability to write reports and to prepare external correspondence.
  • Expertise in using Microsoft Office software (Word, Excel, PowerPoint, Outlook) and various Council software applications including Finance One, Open Cities, Indesign and TRIM.
  • Demonstrated capacity to manage facility booking systems and associated processes e.g. Bookable or similar.
