Your Opportunity at SECURE:
As a Facility Administrator you are responsible for performing a broad range of service functions in support of efficient and effective Facility operations. The key responsibility areas for this role involve office administration, customer service, accounts receivable, accounts payable, systems, training and continuous improvement. The Administrator is an essential part of the Facility Services team and will be key in mentoring and modeling Secure’s common values and principles with clients and employees.

A Day in The Life:

  • Responsible for efficient day-to-day administrative support to the operational team
  • Maintains appropriate files, documents, and reports
  • Meet month end deadlines and ensure accurate reporting within operations
  • Maintain up to date and accessible files
  • Share pertinent information and correspondence with operations team
  • Ensure office supplies are adequate; equipment is maintained and office is organized
  • Handle internal and external customer relations and inquiries in a prompt, accurate and professional manner
  • Assist with day to day tracking of all field staff, equipment, consumables, subcontractors and all related work tickets
  • Document Control throughout lifecycle of each project
  • Ownership of Requisition, Purchase Order and Receiving process
  • Liaising with vendors and external service providers
  • Liaising with Project Cost Coordinators for timely project setup and billing
  • Payroll/Time entry
  • Continually improve all business process

Skills, Experience & Qualifications:

  • Administration or Accounting Certificate/Diploma would be considered an asset
  • Minimum 1-year experience in administrative role
  • Knowledge of Microsoft Office applications such as Word, Excel, Adobe, and Access
  • Good time management and organizational skills and ability to work effectively under pressure, meet demanding deadlines and multiple changing priorities
  • Excellent teamwork and team building skills
  • Reliable with strong work ethic
  • Excellent communication, interpersonal and customer service skills
