Description:
YOUR POSITION
You will join the Procurement and Facility Management department and report to the Facility Coordinator.
Your main role will be to drive management staff and to manage management cars and carpooling vehicles. You will also carry out administrative and logistics tasks and keep an inventory of movable assets.
Your daily activities fall into two categories:
I. Vehicles:
- Driving members of management to meetings and appointments as required.
- Delivering official documents to specified recipients ensuring hand delivery.
- Coordinating the allocation, reception and maintenance of management cars and carpooling vehicles.
- Keeping an inventory of these vehicles and related documentation.
- Planning periodic maintenance and checks on these vehicles.
- Taking these vehicles to periodic maintenance, to the garage, etc.
Handling claims declaration and coordinating repairs.
II. Administrative and logistics tasks:
Producing and printing of official documents.
- Acting as a contact person for employees regarding vehicle-related questions or requests.
- Drawing up periodic inventories of movable assets.
- Keeping detailed and accurate inventory records.
Projects, back-up, one-off activities:
- Being one of the contact persons in the event of an alert from the security company and intervening if necessary.
- Assisting your Facility Management colleagues in their daily tasks: when internal events or meetings are organised;– for the internal redevelopment of office space;– by acting as a back-up person if a member of your team is absent.
- Supporting your colleagues from the Facility Management team in their daily tasks.
Responsibilities:
