OPPORTUNITY
MacEwan University is seeking a Faculty Governance Administrator for a full-time continuing opportunity within Academic Affairs, working with the Faculty of Fine Arts and Communications and the School of Business.
Reporting to the Dean of Faculty of Fine Arts and Communications and working in collaboration with the Provost’s Office and Office of University Governance, the Faculty Governance Administrator is responsible for ensuring that governance processes operate in accordance with policy and other sources of regulation. This position is advisory in nature, providing governance-related analysis, advice, and support to the Dean, Associate Deans and Chairs of the Faculty of Fine Arts and Communications and School of Business, establishing and administering appropriate structures, tools and processes, as well as ensuring all duties are discharged in alignment with other Faculties/Schools and the institution.
Key responsibilities include:
- Facilitating overall governance of the Faculty by providing centralized coordination and oversight of related activities;
- Ensuring governance processes comply with regulatory and policy requirements;
- Maintaining relationships and building beneficial linkages with internal stakeholders, including department Chairs, institutional governance bodies, and staff involved in governance at different levels throughout the institution;
- Advising executives, council, and committee members on policies; coordinating and facilitating these bodies in effectively discharging their responsibilities;
- Serving as Secretary for Faculty Council and its related committees and sub-committees, as well as other committees established to conduct faculty business;
- Under the direction of the Dean, ensuring that elements of the MacEwan Faculty Collective Agreement are appropriately applied; ensuring consultation with Human Resources (Employee & Labour Relations) when interpretation is required;
- Coordinating the tracking of faculty probation, tenure, and promotion;
- Providing support to, and coordination of, faculty academic search committees and appointments of academic staff, including Chair appointments; ensuring coordination with the University Appointment Review and Promotions Committees;
- Coordinating activities related to accreditation (data collection, analysis, reporting, etc.) for relevant government and regulatory organizations; and
- Providing research, analytical, consultation, writing, and project management support on special projects as required (e.g. mandated program reviews, regulated reporting to external oversight bodies, etc.).
SKILLS
You will have:
- Strong communication skills;
- Sound judgment, diplomacy, and the ability to foster and maintain positive, collegial relationships with a variety of internal and external stakeholders;
- The ability to exercise initiative, work independently, and manage multiple priorities and prioritize tasks with minimal supervision;
- Excellent organizational and time management skills;
- The ability to problem-solve, assess situations, apply good judgment and discretion, and handle confidential and sensitive information;
- The ability to analyze data and processes, and to apply critical thinking skills while working in a self-directed manner; and
- Proficiency using Microsoft Office including Outlook, Excel, Word, PowerPoint; Google suite of applications; etc.
QUALIFICATIONS
- A minimum of a diploma in Business Administration, Administrative Professional Diploma, or related field.
- A minimum of 3 years of progressively responsible and diversified administrative experience; exposure to academic governance and/or faculty relations work would be considered an asset.
- Direct experience in a post-secondary or related public sector environment would be considered an asset.
- An equivalent combination of education and experience may be considered.
