Description:

The Failsafe Officer will encompass the ophthalmology pathways to ensure failsafe activities are quality assured and performance managed according to local and national policies. The Failsafe Officer will work independently and be responsible for the production of audits, highlighting areas for improvement and implementing change to provide assurance that patients within the pathway are being seen and treated in a timely manner. This will require a good knowledge and understanding of the local IT systems within the Ophthalmology Department and the Trust, and a good knowledge of the operational management of the department
The Failsafe Officer will need excellent communication skills to ensure close liaison with the Ophthalmology multi-disciplinary team, as well as outpatient booking, inpatient booking and information teams. The post holder will be expected to work well as an individual and as part of a team.
Use knowledge of systems and processes within the specialty to deliver and provide assurance to the Clinical Lead and Service Manager that effective failsafe policies and procedures are in place in Ophthalmology.
Participate in regular meetings within the Ophthalmology Team and performance meetings to report of failsafe systems and develop strategies in conjunction with the key stakeholders to improve areas of concern (backlog of patients) or poor performance.
In liaison with the Service Manager develop new ways of working to support modernisation of the service.
Collate analyse and report on necessary data to identify referral sources, patients referred and discharged.
Regularly liaise with Booking Teams to ensure patients are booked in a timely manner and endeavour, with the support and agreement of the Service Delivery Manager, to develop plans to resolve capacity issues.
Support change in administrative processes in the Ophthalmology Department to support improved patient pathways.
Support the Service Delivery Manager to ensure clinic capacity is fully utilised and monitor utilisation with the intention to improve utilisation performance.
Liaise directly with the Consultants and Ophthalmology Team to ensure appropriate appointments for patients and raise awareness of responsibilities of managing patient pathways and treatments.

Regularly liaise with Booking Teams to ensure patients are booked in a timely manner and endeavour, with the support and agreement of the Service Delivery Manager, to develop plans to resolve capacity issues.
Be fully conversant with Oasis, PTLs, IMAT Information and Medisoft to ensure that inputting and extracting relevant data is accurate.
Liaise with the clinical team to improve patient flow.
Support change in administrative processes in the Ophthalmology Department to support improved patient pathways.
Support the Service Delivery Manager to ensure clinic capacity is fully utilised and monitor utilisation with the intention to improve utilisation performance.
Liaise directly with the Consultants and Ophthalmology Team to ensure appropriate appointments for patients and raise awareness of responsibilities of managing patient pathways and treatments.
Act as a point of contact for patients following diagnosis and navigate the patient to the appropriate other members of the team, or other professionals.
Validate patients on the PTL list to ensure that information is updated to ensure a clean data base.
Monitor systems to ensure patient’s pathways are appropriately managed and follow-ups / annual appointments are made in a timely manner and liaise with patients or carers as necessary.
Liaise as appropriate with patients regarding clinic appointments, queries, or appointment cancellations, giving non-clinical advice only.
Liaise with GPs and staff as required for all clinic sites in relation to appointment queries as necessary giving non-clinical advice only.
Responsible for keeping up to date with document releases and feedback to Clinical Lead and Service Delivery Manager in particular when changes may affect local procedures and policies which may create failsafe issues.
In conjunction with the clinical team, develop patient information.
Undertake audits, record and investigate data as required.
Undertake specific projects as directed by the Service Delivery Manager.
Undertake any other duties relevant to the above tasks.
