The Family Engagement Coordinator will be responsible for developing and executing strategic marketing and enrollment initiatives to connect with prospective families and convert enrollments. This role requires a dynamic individual with a strong background in marketing or sales who can effectively communicate the school’s values and offerings to prospective, mission-fit families and the community.
To succeed in this role, the New Family Engagement Coordinator needs a combination of advanced digital marketing knowledge, heavy CRM administration (Hubspot), strong communication and writing skills, and the ability to collaborate effectively with both admissions and marketing departments. They are responsible for facilitating a smooth enrollment process and providing a positive experience for prospective students during visits and onboarding.
As an inside salesperson for the school, this role takes a supportive approach, emphasizing relationship-building to make families who’ve toured feel wanted, regardless of potential mission fit. These skills combine technical proficiencies with interpersonal abilities, reflecting the multifaceted nature of the enrollment onboarding role. The role is laser-focused on enhancing the overall prospective-customer experience across all touchpoints, emphasizing trust-building which leads to conversion. The aim is to promote enrollment applications and drive a customer-centric approach for onboarding and retention within the organization.

QUALIFICATIONS:

Bachelor’s degree in Marketing, Business Administration, Sales, or a related field, minimum of 5 years of experience in enrollment management, admissions, marketing, or sales, preferably in an educational setting. Proven track record of meeting or exceeding enrollment or sales goals. Exceedingly strong leadership, communication, and interpersonal skills. Strong experience managing CRM software (Hubspot), high proficiency in digital marketing tools and leveraging customer relationship management software, highly data-oriented with ability to analyze metrics and to advise strategy. Strong organizational skills with the ability to manage a large volume of multiple projects simultaneously. Creative thinker with strong problem-solving skills and attention to detail. Works fast using new technology with ease. MAC platform knowledge preferred, experience with Microsoft, Adobe CC, and Google platforms

  • Alongside marketing, developing and executing strategies aimed at generating awareness, inquiries, and applications for the institution’s programs.
  • Driving sales growth in prospective family engagement, including increasing tour visitors and inquiries to support enrollment goals.
  • Conducting market research to understand the needs, preferences, and behaviors of target student populations.
  • Coordinating communications across multiple channels (email, text, social media, print) with prospects, applicants, and admitted families.
  • Collaborating closely with admissions teams to align marketing efforts with enrollment goals and targets.
  • Execute lead-nurturing plans that guide pipeline of prospective families through the entire journey from awareness to application to onboarding for enrollment.
  • Planning and executing lead-nurturing and content marketing, using automated workflows and touchpoints in Hubspot.
  • Managing pipeline, lists, and leads in Hubspot CRM.
  • Analyzing and reporting on the performance and ROI of marketing campaigns, tours, and customer conversion.
  • Establishing clear communication of the value proposition of programs for prospective families.
  • Help admission guide and formulate effective tours to ensure families have the best experience.
  • Nurture intentional relationships with families who’ve toured through phone calls, emails, letters etc. on a regular, strategic basis.
  • Establishing and working towards specific enrollment and activity goals (e.g. number of contacts, visits).
  • Overseeing the school’s admission-related online presence, including website content/forms and informing social media ad strategies.
  • Responding to inquiries via phone, email, and in-person in unison with admission representatives.
  • Tracking and reporting on enrollment metrics and trends.
  • Help organize and participate in recruitment events, open houses, and school tours to showcase the school’s environment and programs.
  • Participating in new family onboarding events and activities.
  • Developing and maintaining relationships with prospective families that have inquired or become leads/deals.
  • Oversees Parent Ambassador program and new family onboarding, and effectively executes a realistic plan for new family touchpoints and communications through current family ambassadors.
  • Assists with all new family events to ensure best experience for the customer with a high level of detailed hospitality.
  • Strong verbal and written communication skills for explaining processes and application information to potential customers.
  • Commitment to providing exceptional customer service to prospective families.
  • Proficiency in entering and managing a large volume of data accurately for maintaining records and processing leads.
  • Detail-oriented to ensure constant communications with prospective families after the tour phase through to application.
  • Ability to manage multiple tasks and prioritize work effectively in a fast-paced environment with flexibility.
  • Executes unreasonable hospitality toward recruitment, retention, events, and customer experience as the #1 priority.
  • Understanding and contributing to enrollment strategies and goals using metrics and a high level of technical proficiency.
  • Outgoing and highly-relational interpersonal abilities to take a supportive approach to new family recruitment.
  • Focuses on post-sale customer experience and retention strategies.
  • Any other duties as assigned.

PHYSICAL REQUIREMENTS

Lifting equipment, boxes and other packages not exceeding 50 pounds for males / 25 pounds for females (boxes heavier than 50 pounds should be lifted while wearing a back brace); excellent cognitive and hearing abilities
