Employment Type: Full Time – Permanent
Salary Range: S3, Level 3, $60,160 - $75,200 per year. The final compensation for this position will be determined based on individual factors, including education, qualifications, experience, and internal equity. This position may be eligible to receive a Northern Living allowance. Northern Living allowances are provided based on the location of the position and where an employee primarily works and resides.
Field Support, Field Operations, East - Hybrid
The Opportunity
The Alberta Energy Regulator (AER) is currently recruiting for a Field Support team member to join the Regulatory Compliance branch. As a highly valued Field Operations East (FOE) team member, you will play the essential role of providing support to the operations and field staff on records management, liaise with stakeholders on low-risk industry management, support provincial teams as needed, provide guidance to junior staff and inspectors on administrative best practices, and provide additional customer service and office support as required. A primary function of this role is to ensure AER processes for records management and retention, data integrity, finance, and stakeholder engagement are met.

What your day-to-day will look like:

  • Conduct data integrity support related to files and records (Orders, Incidents) in alignment with AER procedures, working with inspection staff to ensure records are both accurate and complete, assisting with data entry and training as required.
  • Effectively triage and manage Field Operations correspondence in its various forms both internally and externally; email, mail, phone, fax, and walk-in, while maintaining confidentiality with sensitive information. Enter, complete, and close lower risk release, complaint, contravention, and self disclosure files. Review and assess industry notifications for dissemination to compliance staff.
  • Prepare, edit, and format letters, correspondence, and emails in accordance with AER guides and templates.
  • Fulfill general office duties such as, but not limited to, handling invoices, distribution of mail, coordination of service providers, ordering of office supplies, following procedures as outlined.
  • Collaborate and execute planning and support of stakeholder engagements such as open houses, synergy groups, Emergency Response Plan exercises, operator awareness sessions, and meetings when required. Create meeting agendas and take minutes.
  • Manage the tracking of the field operations staff training and ticket expiration, conduct administration of the working alone program, order and manage safety supplies, manage the administration of building services for the field location.

What we’re looking for in you:

  • Diploma in Business Administration or other related education.
  • 6+ years of related administrative, field operations, and/or regulatory experience.
  • Proficient with MS Office, Word, Excel, PowerPoint, and Outlook.
  • Attention to detail and accuracy, paired with strong organizational skills with ability to multitask and prioritize competing duties.
  • Ability to work independently as well collaboratively in a team environment.
  • Strong communication skills, both verbal and written; capable of handling confidential, sensitive, and personal information.
