JOB SUMMARY

We are seeking a detail-oriented and organised Finance and Office Administrator to join our team. The successful candidate will play a crucial role in managing financial records, ensuring accurate data entry, and providing administrative support to the Managing Director. This position requires proficiency in various software applications, including Xero/ Sage, Excel and Word, as well as strong clerical skills.

EXPERIENCE

  • Proven experience in an administrative or clerical role is preferred.
  • Familiarity with financial software, particularly Xero, is advantageous.
  • Proficiency in using Excel
  • Strong organisational skills with the ability to manage multiple tasks efficiently.
  • Excellent attention to detail and accuracy in data entry tasks.
  • Effective communication skills, both written and verbal, are necessary for this role.

Responsibilities:

DUTIES

  • Maintain and update financial records with a high level of accuracy.
  • Perform data entry tasks to ensure all financial transactions are recorded promptly.
  • Assist in the preparation of financial reports and statements.
  • Manage office tasks such as filing, scanning, and organising documents.
  • Handle incoming phone calls with professionalism and excellent phone etiquette.
  • Support the finance team with administrative duties as required.
  • Collaborate with other departments to ensure smooth financial operations.
  • Utilise Xero & Sage for bookkeeping tasks and financial management.

ADMINISTRATION DUTIES:

  • Liaising with clients to ensure timely gathering of receipts and invoices.
  • Arranging monthly meetings with clients
  • Ensure tidy filing of all client records
  • Collation of month end information required to balance accounts.
  • Processing and collecting of expenses

AD HOC DUTIES:

  • Assist with projects as directed by senior finance staff.
  • Manage filing systems, ensuring documentation is filed correctly and securely.
