Description:

We are seeking a detail-oriented Finance and Administrative Assistant to manage financial tasks, accounts receivable, human resources, and general administrative support. The ideal candidate will have strong analytical skills and excellent communication abilities.
Key Responsibilities:

Royalty & Marketing Fees Withdrawal:

  • Enter sales data from Visual Touch into spreadsheets and balance totals.
  • Process EFT entries for royalties and marketing fees post-approval.
  • Update EFT PAD info and create invoices for Royalty & Marketing Fees.

Accounts Receivable:

  • Invoice franchisees and miscellaneous customers, ensuring accuracy in QBO.
  • Communicate with franchisees on account statements and payment discrepancies.
  • Monitor overdue accounts and follow up for payments.

Compliance and Reporting:

  • Ensure compliance with franchise agreements and report on costs versus A/R invoices.

Process Optimization:

  • Implement improvements for customer information and billing processes.

QuickBooks Management:

  • Maintain and update products and services in QBO.

Expense Reports:

  • Verify expense reports for accuracy before approval.

Human Resources Support:

  • Assist with payroll processing, benefits administration, job postings, and onboarding.

General Administration & Executive Assistance:

  • Create templates, schedule meetings, and handle sensitive financial data.

Qualifications:

  • Degree in Finance, Business Administration, or related field preferred.
  • Experience in finance and administrative roles.
  • Proficiency in QuickBooks and Microsoft Excel.
  • Strong organizational and communication skills.
