Description:
POSITION SUMMARY:
The Finance Clerk reports to the Finance controller and is responsible for providing financial, administrative, and clerical services to ensure effective, efficient, and accurate financial and administrative operations. The incumbent will process and monitor payments and expenditures as well as payroll and leave management systems.
QUALIFICATIONS:
- A post-secondary certificate or diploma in business, accounting or a related field is preferred with equivalent education and experience considered.
- Excellent computer literacy with Microsoft 365, MS Word, Excel, PowerPoint.
- Knowledge of office administration bookkeeping procedures is considered an asset.
- Knowledge of accounts payable, accounts receivable, and payroll are considered an asset.
- High attention to detail and typing accuracy.
- Good planning skills including the ability to prioritize and adjust to shifting needs.
- Clear, concise, and polite written and verbal communication skills.
- Valid BC Drivers License and reliable vehicle.
- Strong knowledge, or willingness to learn, of Wet’suwet’en Clan/House Group lineage and House Chief Traditions.
- Willingness to learn and participate in Wet’suwet’en Culture and Traditional functions.
- A customer-centric attitude with ability to remain calm and composed during potential shifts in priorities, deadlines, or urgent requests.
- Strong understanding of and compliance with confidentiality and a professional code of conduct.
- A clear criminal record.

Pay: $24.00-$29.00 per hour

Responsibilities:
Financial Management
- Be aware of and follow finance policies and procedures.
- Support the Hereditary Chiefs with expense reimbursement by collating and preparing draft expense submissions for review and approval.
Operations
- Process Accounts Payable / Accounts Receivable batches on a timely basis to ensure compliance with month-end deadlines.
- Ensure all prepared cheques or other disbursement forms contain appropriate approvals.
- Prepare vendor cheques for mailing to the appropriate parties.
- Calculate, enter and maintain paysheet information including the balances of employee salaries, benefits, hours worked, deductions and other relevant payroll data.
- Ensure proper coding of all invoices and the separation of GST charges.
- Reconcile and process monthly credit card statements and payments.
- Maintain accurate listings of existing accounts receivable and payable transactions to be reconciled into the general ledger.
- Ensure timely distribution of payroll to staff in accordance with established schedules.
- Assist with month-end and year-end procedures.
- Ensure weekly cheque runs are collected and disbursed accordingly.
- Prepare and reconcile Chief Honoraria and Travel Expense claim schedules.
- Prepare and maintain various spreadsheets to track expenses for various departments.
- Prepare and maintain vendor files and documents.
- Support auditors with the preparation of documentation in a timely manner.
- Ensure all direct deposits are accompanied by the direct deposit fax sheet in preparation for bank reconciliation.
- Maintain and file all forms such as Accommodation Warrants, Travel Warrants, Travel Advances, Purchase Order Books and all other relevant forms.
- Process relevant payroll forms such as TD1’s in a timely manner.
- Follow up with authorized credit card holders for relevant receipts and documentation.
- Monitor and purchase office inventory as required.
- Monitor and manage the Accounts Payable inbox.
- Provide support as directed by the Finance Controller or Executive Director.
- Receive, sort and forward all relevant incoming mail into the Finance office.
- Promote and maintain confidentiality and employee files in accordance with Wet’suwet’en finance policy.
