In this busy and exciting role, you will provide administrative and coordination assistance to support the smooth running of our Newark and Spalding Finance Shared Services offices.
ROLE ACCOUNTABILITIES
Provide a single point of contact for administrative issues and/or requests from Finance Shared Services Leadership team
- Act as the single point of contact for all issues and/or requests and escalate these issues when required
- Provide oversight on the progress of reported issues/requests, liaising with third parties and site services where necessary in order communicate to FSS colleagues
Continual improvement of the services
- Liaise with the stakeholders to continuously improve the services provided to or on behalf of FSS
Stationery management
- Includes managing stock levels, ordering items and dealing with booking requests and return of equipment for both the Shared Services offices. This includes but not exhaustive: kitchen supplies, catering, toners, office supplies
- Manage the meeting room & hot desk booking system
- Accepting in delivery of stationery
Purchase Order Management
- Raising PO’s as required for Finance Shared Services
- Receipting goods in through Protean
Assisting with FSS Travel Requirements
- Booking travel for FSS Leadership team
Process Visitors
- Responsible for registering and managing visitors
- Administrator of door access system (starters/leavers etc)
- Be an ambassador for Bakkavor, ensuring that the visitor experience is professional and positive
Process post
- Ensure the daily post is collected, distributed and dispatched
Meeting room management
- Central oversight of meeting rooms and assistance to book if required
- Ensure that the rooms have been left in an acceptable state by out-going users and are fit for use by in-coming users
- Work with meeting organiser to arrange catering for bookings (where applicable)
Manage Internal Communications to Colleagues
- Own SharePoint page and update with key business information regularly
Administration Support
- Support Administration activities for Finance Shared Services Leadership team
