JOB SUMMARY
The Alabama Cooperative Extension System (ACES) is seeking a Financial Assistant to join our Business Office team. The Financial Assistant for the Alabama Cooperative Extension System (ACES) will provide key financial and administrative support within the ACES Business Office. This role serves as a vital resource for managing financial documentation and facilitating smooth operations while being the first point of contact for ACES employees.
EXTENSION: The Alabama Cooperative Extension System is the outreach organization for the land grant mission of Alabama A&M University and Auburn University. Its educational programs grow from these two land grant university campuses to serve the people of Alabama. Science-based educational programs are delivered that enable people to improve their quality of life and economic well-being. - Knowledge and skills of general office operations, as well as, Microsoft Office products, such as Excel and Word are required.
- The successful candidate should have excellent bookkeeping and accounting skills.
- Attention to detail and the ability to multitask are also required.
- Excellent interpersonal communications and organizational skills are required.

Responsibilities:
- Prepare Financial Documents: Create and manage a variety of financial documents, including vendor vouchers, travel vouchers, collection reports, requisitions, and purchasing card reconciliations.
- Data Entry and Management: Enter data monthly to update various tracking spreadsheets, ensuring accuracy and completeness in the information.
- Vehicle Scheduling: Maintain the schedule for two ACES State vehicles and serve as the primary contact for approving vehicle appointment requests in the Outlook Calendar.
- Receptionist Duties: Act as the first point of contact for ACES employees, providing guidance on standard policies and procedures.
- Financial Monitoring: Monitor financial activities and communicate with vendors, subcontractors, and others to address concerns or make necessary corrections.
- Mail Rotation Assistance: Help with the rotation of mail and related tasks.
- Administrative Support: Perform various financial and administrative support tasks, including ordering materials and supplies, mailing items, making travel arrangements, coordinating and scheduling conference calls and meetings, and assembling documents.
