Parasol Alliance is looking for a Financial Operations Assistant to join our talented team!
Position Mission
The Financial Operations Assistant will support our finance and HR teams. This role involves a variety of administrative tasks, with a focus on client billing and invoicing. The ideal candidate will be organized, efficient, and capable of managing multiple responsibilities with accuracy and professionalism.
Responsibilities

Financial Support: assist the Director of Finance with various bookkeeping tasks including the following:

  • Billing and Invoicing
  • Prepare and send invoices to clients
  • Track and follow up on outstanding invoices to ensure timely payments
  • Assist in resolving any billing discrepancies or issues

Operations Support: assist the Director of People Operations with various administrative tasks including the following:

  • Assist in processing onboarding, termination, and internal change tickets
  • Assist with internal mentorship programs including the new employee mentorship and career development mentorship program
  • Assist with employee engagement initiatives including townhalls, engagement surveys, and new employee socials
  • Assist with Best & Brightest nomination surveys
  • Process internal purchase request tickets
  • Proactively update information on company SharePoint
  • Book internal travel and manage travel calendar
  • Oversee logo wear and anniversary swag orders
  • Maintain and update internal training videos/create additional content as needed
  • Other duties as assigned

Requirements

  • Associate’s or bachelor’s degree preferred
  • Proven experience as an administrative assistant or in a similar role
  • Familiarity with billing and invoicing processes
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Strong organizational and time-management skills
  • Excellent communication and interpersonal abilities
  • Attention to detail and problem-solving skills
  • Ability to work independently and as part of a team
