POSITION SUMMARY

The Financial Operations Officer is a critical member of the Finance, Strategic Enrolment Management (SEM) team and reports to the Manager of Finance. This position will work closely with AVPs, Business Development Directors, and Recruitment Managers to provide financial analysis, support, and oversight of the SEM division. The Financial Operations Analyst will focus on agent commission, student refunds, Capital projects, global projects for international recruitment, and ROI for recruitment performance. This role is responsible for reconciling expenses and revenue for the SEM division, processing payroll and HR-related activities for designated departments, and ensuring the accuracy of financial information for ongoing financial, payroll, and human resource requirements of the division. The Financial Operations Analyst will also support capital project and global projects at SEM by assisting with data collection, revenue and expenses reconciliation, cost allocation, and analysis.

QUALIFICATIONS/EXPERIENCE

  • Three-year college diploma or degree in business administration, accounting, or equivalent education and experience
  • Minimum of four years’ experience in a general accounting environment
  • Advanced proficiency in Microsoft Excel and intermediate proficiency in Microsoft Word
  • Familiar with Banner operation system, and AISmartR reporting system
  • Experience with multi-currency
  • Self-starter with a proven track record of managing complex financial data, providing high levels of customer service
  • Strong attention to detail and ability to work with high accuracy
  • Excellent interpersonal, communication, and judgment skills
  • Ability to prioritize tasks, meet deadlines with minimal supervision, and work well under pressure with strong organizational skills

Responsibilities:

  • Track and reconcile agent commission payments on a monthly basis and prepare accompanying variance analyses to ensure accuracy.
  • Maintain accurate computerized records of financial information related to agent commission, student refunds, and global projects.
  • Collaborate with the Manager of Finance, AVPs of Strategic Enrollment Management, Business Development Directors, and Recruitment Managers to ensure the financial performance of the department meets its objectives and goals.
  • Work with relevant core service departments such as Accounting and Purchasing to process requisitions and initiate payments.
  • Analyze recruitment performance data, including enrollment numbers, demographics, and sources of recruitment, and identify areas of improvement.
  • Report on the ROI of recruitment efforts, providing insights and recommendations for optimization.
  • Calculate the ROI on agent commissions, student refunds, and global projects, analyzing the cost against the revenue generated by international students.
  • Prepare monthly, quarterly, and annual reports with accompanying variance analyses for the Manager of Finance, Senior management of SEM, and other relevant stakeholders for review.
  • Track and reconcile revenue and expenses for global projects, provide actual trending of accounts to ensure accuracy and compare to budget.
  • Gather information and maintain computerized records to develop departmental budgets, capital project budgets, and global project budgets.
  • Process requisitions and initiate payments/invoicing in coordination with Accounting and Purchasing departments.
  • Reconcile expenses for designated departments and accounts, verifying expenses, assigning codes, and comparing to budget.
  • Collaborate with management and Financial Officer to develop departmental budgets and forecasts.
  • Review monthly budget for each department or projects and investigate transactions as requested.
  • Provide monthly analysis of agent commission payments, student refunds, and international student loyalty and hardship scholarships, and develop forecast and budget in collaboration with the Manager of Finance.
  • Act as one of the Division’s information liaison contact and trainer for financial related enquiries
  • Act as one of the first point of contact for HR with contract related issues
  • Use AISmartR to develop reports as required.
  • Act as backup for Financial officer during their vacations
  • Perform other tasks as assigned
