Description:

JOB SUMMARY:

As a Fleet Asset and Transportation Analyst, you’ll focus on the management of 4,000 vehicles and ensure the proper transportation, inventory levels, ordering, and disposal. You will work directly with multiple vendors, Client Services, HR, and Finance. You will contribute to creating and driving initiatives that make the fleet more cost effective, while helping to retain profitability.
You will also support the fleet and transport mailboxes by managing inquiries and status requests

Scope of Interactions:

  • 60% Internal – Collaboration with Client Services, HR and Finance
  • 40% External – Collaboration with multiple external vendors

  • Defines, compiles and evaluates data of varying complexity to develop professionally prepared informational reports and recommendations on fleet management best practices
  • Reporting presented monthly, quarterly, and weekly to ensure continuous improvement
  • Responsible for the data integrity of the assets

EDUCATION

  • Some college preferred

SKILLS

  • Minimum of 2 years of business experience
  • Analytical acumen
  • Intermediate/Advanced skills in Microsoft Excel data formulas, charts, pivot tables and V-Lookup functions and the ability to learn new or proprietary systems

Responsibilities:

  • Analyze current surplus and determine which vehicles should be assigned
  • Assign and unassign vehicles to drivers in the fleet management system
  • Responsible for terming drivers in the fleet management system
  • Review condition report file and place orders for missing items
  • Manage fuel card assignments and unassignments within fleet management system
  • Research missing information
  • Manage the population of the order list onto the Wheels template
  • Research and verify registration renewals for vehicles in storage
  • Track terms against vehicle pickups by PARS and Fleet Street
  • Develop reporting across all vendors and provide on a regular basis to management
  • Ensure bridge rentals are set up across project teams when needed
  • Develop efficiencies in process and procedures with continuous improvement as a goal
  • Creates best practices for communication and services to stakeholders and vendors
  • Provide support to the Client Services team as the subject matter expert for fleet process, procedures, status, and reporting by monitoring patterns and trends of questions
  • Provide, analyze, and audit weekly, monthly and annual fleet reports (inventory, maintenance, mileage, and fuel)
  • Ensures appropriate files, reports and analysis are maintained in the fleet data lake
  • Responsible for replies to shared fleet and transporation mailbox concerning fleet questions and status
  • Help maintain the accuracy of the MTR concerning vehicle assignments
  • Troubleshoot data feed entry errors with key internal groups
  • Create KPI’s to measure success and possible improvement areas
  • Analyze transportation condition reports for damage, and missing keys and alert fleet safety for points assessment
  • Manage large complex projects to ensure timelines are met and product and services are delivered in a cost-effective manner
  • Accountable for conducting audits for vehicle inventory and personnel
  • Ensure adherence to fleet policies and procedures
  • Provide backup for other fleet team roles when needed
  • Special projects as assigned to support day to day workflows and projects
