Job Description
The Front Desk Agent plays an essential role in fostering a warm, welcoming, and efficient environment while ensuring the smooth execution of daily operations. As the first point of contact, this role sets the stage for professional, friendly interactions that leave a lasting impression.
Beyond front desk management, the Front Desk Agent drives organization and communication, collaborating with teams such as Hospitality, Facilities, and IT, and working closely with counterparts in Toronto, Los Angeles, and Paris.
This dynamic role also enriches workplace culture by supporting events and activities that promote connection and deliver an inspiring experience for everyone who walks through our doors.
KEY ACCOUNTABILITIES:
Guest & Employee Services
- Greet and welcome employees, clients, and guests with positive energy, professionalism, and genuine care, ensuring inquiries are promptly directed to the appropriate resources.
- Assist visitor check-ins, including NDA signature and badge issuance.
- Handle incoming calls, emails, and messages across multiple channels and platforms.
- Support access card loans and parking requests, ensuring proper tracking and validation.
- Address and document employee requests and dispatch them to the right departments.
Hospitality
- Attend to the needs of our guests and clients by offering coffee and refreshments.
- Support meeting room setup, including catering and beverage services.
- Assist in planning and executing internal and client events.
- Curate and manage the office ambiance, including music selection.
Operations
- Handle incoming/outgoing mail, packages, and shipping, ensuring customs and budget compliance.
- Assist boutique management inventory, online orders, and welcome packages deliveries for new hires.
- Maintain after-hours scheduling for security, maintenance, and events to help inform and remind stakeholders.
- Provide administrative support, including supporting drafting guides, tracking expenses, maintaining supplier lists and other administrative tasks.
- Oversee access cards for onboarding/offboarding processes.
- Help draft and update process documents, guides, and manuals.
Travel & Lodging Support
- Support bookings and logistics for company-owned properties.
- Arrange local ground transportation for employees, clients, and guests.
- Monitor and respond to inbound travel-related inquiries, dispatching requests to appropriate stakeholders or external vendors.
Culture
- Manage Bell Centre suite bookings, catering, and ticket allocations.
- Respond to internal activity and event inquiries with a customer-service approach.
- Actively engage with the company’s internal portal and communication channels.
- Participate in health and safety committees and ensure first-aid readiness.
QUALIFICATIONS
- On-site, Monday-Friday, with flexibility for early mornings or late evenings as needed.
- High school diploma required.
- Background in hospitality or service industries preferred.
- Experience with ERP tools such as Monday, Expensify, OfficeSpace, and Google Workspace is preferred but not required.
- Excellent written and oral communication skills in both English and French.
- Strong multitasking, prioritization, and time management skills.
- Acute sense of discretion and confidentiality.
- Customer service-oriented with a professional and welcoming demeanor.
