The Headquarters Office Coordinator is the first point of contact for visitors, employees and tenants.
The Office Coordinator is an enthusiastic and courteous individual, with an eagerness to provide customer service. The person in this role facilitates the internal operations with a visionary and proactive approach while upholding and promoting company culture.

QUALIFICATIONS/REQUIREMENTS

  • Education
  • HS Diploma/GED or equivalent
  • Experience
  • Two years of front desk experience preferred
  • Security Related experience is beneficial
  • Skills
  • Ability to multi-task
  • Proficient computer skills
  • The ability to drive to other local company worksite locations is required.

Responsibilities:

  • Office and Administrative Tasks
  • Management of reception area
  • Receive visitors by greeting, welcoming and announcing them appropriately
  • Provide concierge services
  • Collecting, sorting and distributing incoming mail
  • Preparing and tracking outgoing mail and certified mail
  • Receiving, logging and managing incoming and outgoing packages
  • Preparing and verifying outgoing packages
  • Management of inventory and ordering for office and janitorial supplies, office equipment, and materials (for common areas)
  • Assisting with preparation of office meetings, events and room reservations
  • Routinely monitor common areas for cleanliness and orderliness
  • Refresh supplies in common areas as needed
  • Oversee large print jobs
  • Maintaining and periodic archiving of digital and physical files
  • Processing of invoices
  • Use of web-based applications such as Staples, UPS, Fedex, Quadient
  • Data entry for multiple databases
  • Monitor parking areas for compliance with parking policies
  • Other clerical duties as needed

  • Welcoming employees, tenants and visitors upon arrival
  • Uphold visitor management policies and procedures
  • Professionally direct visitors to complete sign-in process, verify credentials, direct them to seating to wait for their escort
  • Notify point of contact efficiently and accurately
  • Issue ID or Access badges based on company guidelines
  • Escort visitors as required by company guidelines
  • Skills to diffuse negative or hostile situations
  • Must be able to remain calm under pressure
  • May be required to call the police, fire department or EMS in case of an emergency
  • Must have strong observation skills
