JOB SUMMARY

We are seeking a professional and personable Receptionist/Front Desk Officer to be the first point of contact for our Facility Management client. The ideal candidate will be responsible for managing the front desk, handling administrative duties, and providing excellent customer service to both internal and external stakeholders.

  • Minimum Qualification : OND
  • Experience Level : Entry level
  • Experience Length : 1 year

REQUIREMENTS:

  • Minimum of an OND (Ordinary National Diploma) in Business Administration, Secretarial Studies, or a related field.
  • At least 1 year of experience in a similar role, preferably within a facility management, real estate, or service-oriented industry.
  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and multitasking abilities.
  • Ability to maintain confidentiality and handle sensitive information.
  • Professional appearance and demeanor.

Responsibilities:

RESPONSIBILITIES:

  • Greet and welcome visitors with a positive and helpful attitude.
  • Direct visitors to the appropriate person and office.
  • Answer, screen, and forward incoming phone calls.
  • Manage the reception area, ensuring it is clean, organized, and well-presented at all times.
  • Address client inquiries promptly and courteously.
  • Assist clients and visitors with any queries and provide accurate information about the company’s services.
  • Manage the scheduling of meetings, appointments, and conference rooms.
  • Maintain and update records, files, and contact lists.
  • Handle incoming and outgoing mail, courier services, and deliveries.
  • Assist with administrative tasks such as photocopying, filing, and document preparation.
  • Coordinate office supplies inventory and place orders as needed.
  • Ensure that all visitors sign in and out as required.
  • Issue visitor badges and maintain a log of visitor activities.
  • Liaise with different departments to relay messages, documents, and other communications as needed.
  • Maintain professional communication via email and other digital platforms.
