POSITION SUMMARY & KEY AREAS OF OWNERSHIP

As the Receptionist, you will be the first point of contact for our company. Our receptionist duties include offering administrative support across the organization. You will welcome guests and greet people who visit the business. You will also coordinate front-desk activities, including distributing correspondence and redirecting phone calls.

SKILLS AND REQUIREMENTS

  • High School diploma, 2+ years related experience in customer service.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal, negotiation, and conflict resolution skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Strong analytical and problem-solving skills.
  • Ability to prioritize tasks and to delegate them when appropriate.
  • Ability to act with integrity, professionalism, and confidentiality.
  • Proficient with Microsoft Office Suite or related software.

Responsibilities:

  • Greet and welcome guests as soon as they arrive at the office.
  • Direct visitors to the appropriate person and office.
  • Preparing the office and conference room for vendor visits, ordering lunch when needed.
  • Answer, screen, and forward incoming phone calls.
  • Field Brand customer complaints and work toward resolutions and responses with other teams.
  • Ensure the reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms, business cards and materials).
  • Provide basic and accurate information in-person and via phone/email.
  • Receive, sort, and distribute daily mail/deliveries.
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges).
  • Assist new applicants who come into the building to apply for positions.
  • Support the Sales team by occasionally coordinating shipping out sample requests.
  • Keeping the kitchen clean and tidy, bathrooms stocked with supplies, etc.
  • Assisting IT with help around the office and plant.
  • Order front office supplies and keep inventory of stock.
  • Perform other clerical receptionist duties such as filing, photocopying, and faxing.
