Description:

We are hiring for a Front Desk Receptionist, based out of our Vancouver office. As the welcoming face and voice of Fast + Epp, the Front Desk Receptionist plays a key role in managing calls, handling inquiries, and greeting visitors, vendors, and clients. This role involves a variety of office and administrative tasks to ensure smooth operations. We seek a professional individual who can embody our company’s values with a positive attitude and exceptional customer service skills. Responsibilities:

  • Answer, screen, and direct phone calls in a polite and friendly manner
  • Greet and welcome visitors in a warm, professional manner
  • Provide accurate information in response to general inquiries
  • Receive and sort incoming mail and deliveries, and manage outgoing mail and courier services
  • Schedule and coordinate meetings and lunch-and-learns, including catering needs and room set-up/clean-up
  • General kitchen duties including loading/unloading the dishwasher, cleaning and tidying up after lunch, replenishing supplies, and ensuring the kitchens are well-maintained
  • Keep meeting rooms and other common areas tidy and clean
  • Ensure the reception desk is always staffed, and the area is clean and organized
  • Monitor and maintain inventory of office and kitchen supplies, and place orders as needed
  • Organize and maintain magazines, books, and the company library
  • Provide administrative support across all locations and departments
  • Create and format documents/spreadsheets/powerpoint slides
  • Generate certificates of insurance
  • Assist with archiving procedures and manage the retrieval of archived files
  • Records maintenance and file management including digital and physical files
  • Coordinate employee travel via Corporate Travel Agent
  • Coordinate vendor visits, communicate needs, and report issues as they arise
  • Assist with coordination and logistics of events
  • Perform other administrative and operational tasks as needed
