REQUIREMENTS:
- Matric, relevant qualification advantageous
- Previous experience as a receptionist or in a customer-facing role preferred, especially in property management or real estate
- Excellent communication and interpersonal skills
- Communication in English and Afrikaans
- Strong organizational and multitasking abilities
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and office equipment (phones, printers, etc.)
- Ability to handle sensitive information with discretion and maintain confidentiality
- Professional appearance and demeanour
- Strong problem-solving skills and a proactive approach
- Ability to work independently and as part of a team
Duties and Responsibilities::
- Greet and welcome visitors, clients, and tenants in a courteous and professional manner
- Direct visitors to the appropriate department or personnel
- Manage incoming phone calls, emails, and messages, ensuring timely and accurate responses
- Perform general administrative tasks such as filing, data entry, and document preparation
- Assist in scheduling appointments and meetings for management and staff
- Handle mail and courier services, including sorting and distributing incoming mail
- Address and resolve tenant inquiries and concerns promptly and professionally
- Maintain accurate records of tenant interactions and service requests
- Coordinate with maintenance and repair teams to address property issues
- Maintain and update office supplies inventory, ordering replenishments as needed
- Ensure the reception area and meeting rooms are organized
- Assist with the onboarding process for new tenants, including preparation of lease documentation
- Update and maintain purchaser and leads databases
- Generate and distribute reports as requested by management
- Adhere to company policies and procedures, including confidentiality agreements and data protection regulations
- Ensure compliance with health and safety regulations in the office environment
