Description:

OFFICE ADMINISTRATION.

  • Daily post duties to include opening post, collecting internal and external post and dispersing of Royal Mail and DX post.
  • Organise couriers when needed.
  • DX monitoring.
  • Responsible for stationery stock management including stock control and online ordering.
  • Coordinate contractors/suppliers visiting the office.
  • DACS online system entering all new archiving.
  • Entering deeds on to company’s database
  • Deal with recalling files and delivery of files and deeds.
  • Organise files, checking the correct files are in the box and co-ordinate to the system.
  • Keep up to date records of destroyed files.
  • Arrange file collection to return files.
  • Reprographics support.
  • Archiving.
  • Assist with recycling initiatives.
  • Undertake First Aid & Fire Marshall duties.
  • Liaise with Central Support as required.
  • Order all flowers.FRONT OF HOUSE.
  • Ensuring reception is always manned.
  • To meet and greet all visitors and assist them in a courteous & helpful manner.
  • Always keeping the reception area and meeting rooms smart and tidy.
  • Manage the Outlook diary for meeting room bookings.This job description is not an exhaustive list due to the requirements of the role. Therefore, the job holder may be required from time to time to carry out other ad hoc tasks as requested.

Responsibilities:

THE ROLE

An opportunity has arisen to join our National Client Services team. The purpose of this role is to deliver an excellent reception and office administrative services to both internal and external clients. This role is primarily based in our Leeds office but there may be occasions when you will be needed to attend our other UK based offices to provide cover for absence/assist with after work events. The working hours for this role are 37.5 hours per week based on a 7.5 hours shift pattern, Monday to Friday between 07:30 and 18:00.
Reporting to the Regional FOH Supervisor, the FOH & Office Administrators are responsible for delivering an excellent FOH experience to all visitors to the office, as well as ensuring that our office administration duties are completed efficiently within the office.
