We are continually growing and are looking to add a Front Office/Financial Administrator to our team in Bedford! JOB DESCRIPTION:

As the Front Office/Financial Administrator at Trim Landscaping, you will play a key role in ensuring our office operates efficiently and that both employees and clients are well-supported. You’ll assist in managing office functions, supporting HR & Accounting processes, coordinating meetings and schedules, and maintaining important company records. QUALIFICATIONS:

  • Proven experience as an Office Administrator, Office Manager, or similar role.
  • Strong organizational and time management skills with the ability to multitask.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with Quickbooks Online
  • Excellent communication and interpersonal skills.
  • Experience with HR processes, payroll administration, accounts payable and receivable or safety compliance is an asset.
  • Experience in the landscaping, construction, or related industries is a plus.

Responsibilities:

  • Process invoices, purchase orders, and expense reports. Assist with payroll preparation by tracking employee hours and submitting data.
  • Reconcile accounts payable and receivable statements
  • Assist with related companies to Trim, including Citadel Fence, holdcos and real estate companies.
  • Maintain office supplies, equipment, and inventory. Organize and file company documents, both physical and digital.
  • Greet visitors, answer phone calls and respond to emails.
  • Coordinate meetings, appointments, and employee schedules. Assist with travel arrangements where required for teams on the road.
  • Assist with onboarding, maintain employee records, and support HR initiatives.
  • Act as the first point of contact for clients and assist management and teams with client communications and documentation.
  • Support all administrative functions of Trim office and accounting team.
  • Prepare reports, and correspondence. Assist in organizing company events and initiatives.
  • Assist with project documentation, including permits, contracts, and work orders. Coordinate with construction and maintenance teams to ensure proper paperwork is filed. Including WCB, safety, insurance, etc.
  • Other duties as required.
