POSITION SUMMARY:

We are seeking a highly organized and personable Front Office Receptionist to provide administrative support to the Senior Leadership Team (SLT). The ideal candidate will manage the front desk, manage confidential information, handle incoming communications, and coordinate schedules, meetings, and travel arrangements.

QUALIFICATIONS:

  • High school diploma or equivalent (Bachelor’s degree preferred).
  • 2+ years of experience in a receptionist, administrative, or executive assistant role.
  • Strong organizational skills with the ability to multitask and prioritize effectively.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience with scheduling software and travel coordination platforms is a plus.
  • Ability to maintain professionalism and confidentiality at all times.

Responsibilities:

  • Front Office Management:
  • Greet and assist visitors, ensuring a professional and welcoming environment.
  • Handle all incoming phone calls, emails, and inquiries, directing them to the appropriate team members.
  • Maintain the front office and ensure it is organized and well-presented.
  • Manage and handle confidential information accordingly.
  • Administrative Support:
  • Provide comprehensive administrative support to the Senior Leadership Team.
  • Manage and coordinate SLT calendars, scheduling meetings, appointments, and conference calls.
  • Prepare meeting agendas, minutes, and follow-up correspondence as needed.
  • Travel Coordination:
  • Plan and book domestic and international flights for the SLT.
  • Arrange accommodations, transportation, and itineraries for business travel.
  • Ensure all travel plans are aligned with company policies and budget guidelines.
  • Meeting and Event Coordination:
  • Schedule and coordinate meetings for internal teams and external clients.
  • Arrange meeting rooms, catering, and audio/visual equipment as needed with assistance of IT Department.
  • Assist with the preparation of presentations, reports, and other materials for meetings.
  • Other Duties:
  • Manage office supplies, ensuring the front office is stocked and organized.
  • Handle confidential and sensitive information with discretion.
  • Assist with special projects and other duties as assigned by the SLT.
