Description:
The Logistics and Office Assistant will work with the logistics and finance team to support the shipping and administrative functions of Gagne Foods.
The ideal candidate will be organized, detail oriented, and a proactive problem solver.
Excellent customer service skills are critical to success in this position. You should be comfortable handling multiple tasks with changing priorities.
Supporting general operations, shipping and inventory this position will be integral to the daily operations of Gagne Foods and play a key role in the agency’s success.
Schedule: Monday-Friday 8 AM to 4:30 PM on site in Bath, ME
QUALIFICATIONS
- Strong attention to detail and accuracy.
- Excellent organizational and time management skills.
- Ability to work independently and collaboratively in a team environment.
- Ability to lift up to 50 lbs. at times
- Inventory and warehouse experience strongly preferred
- Ability to work comfortably with a diverse workforce
- Strong administrative skills and self-motivated with the ability to set priorities and manage tasks under minimal supervision in an effective and efficient manner
- Proficient in accounting software (e.g., QuickBooks, Sage Intacct) and Microsoft Excel.
- Proficient in the Google suite of products and navigating web platforms
PREFERRED REQUIREMENTS
- High school diploma or equivalent.
- 2+ years of experience in logistics and shipping, inventory control, warehouse environment and accounting experience
- Ability to learn new software skills as needed to complete job responsibilities
- Successful background check
Responsibilities:
- Regularly compares transportation and logistics pricing and timelines
- Updates VP of Sales & Marketing on shipping cost fluctuations and any discrepancies
- Assists with major customer orders and verifies product inventory at all primary and secondary warehouses
- Creates Bills of Lading (BOL’s_ and Pallet Sheets and gives to Production Shipper to create pallets and prepare for pickup
- Works with Production Staff and Freezer Supervisor in maintain efficient freezer organization
- Ensure adherence to internal controls, policies, and procedures established by the Director of Logistics
- Provide support during audits by ensuring documentation and records are accurate and accessible.
- Assist Logistics Director with Scheduling of Delivery and pickup of orders
- Assist with accounts payable process, accounts receivable including processing invoices for payment, working with vendors to answer billing questions, answering incoming calls and general filing.
- Assist with timekeeping, payroll and daily attendance as needed
