POSITION OVERVIEW

The Accounting Specialist is responsible for performing clerical tasks in keeping financial accounts and records and processing financial activities according to standardized accounting principles and practices. The work involves the performance of bookkeeping and related tasks within clearly defined limits.

EDUCATION AND EXPERIENCE

  • 2 years’ clerical or bookkeeping experience using applicable office productivity software in a professional office environment - Required
  • Associate degree or higher with coursework in Accounting, Bookkeeping, or Finance OR Professional certification in Bookkeeping, Accounting, or Finance – Preferred

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES

  • Job Knowledge, including Librarianship
  • Intermediate knowledge of MCPL procedures and functions to assist specialists with financial related tasks
  • Demonstrates proficiency in understanding, implementing and explaining library finance related procedures and policies
  • Intermediate knowledge to discern areas that may require additional focus and proactively adjust in workflow
  • Technology including specific applications, hardware, and coding languages
  • Intermediate knowledge of Teams, Microsoft office 365 applications including Word, Outlook, Excel and Teams
  • Intermediate ability to create and maintain Excel spreadsheets, PowerPoint, and other MS Office programs
  • Communication (reading, writing, speaking)
  • Advanced verbal, written and confidential communication skills with management, coworkers, and the public
  • Demonstrates advanced confidentiality and discretion regarding employee information and all administrative matters related to the work

  • Receives and reviews travel expense reports
  • Prepares invoices, reimbursements, and requests for payment
  • Reconciles purchasing card transactions
  • Reviews, scans, and maintains vendor invoices and documents
  • Reconciles purchasing card transactions
  • Provides Support
  • Serves as backup for accounts receivable and payable duties when needed for fines and fees, refunds, taxes, grants, contributions, and other payments
  • Generates account activity and budgetary reports on demand
  • Maintains Recordkeeping
  • Processes new vendor applications and updates vendor records
  • Maintains general and subsidiary records according to established library account classifications
  • Revenue Support
  • Receives and accounts for fines and fees, refunds, taxes, grants, contributions, and other payments
  • Prepares bank deposits
  • Performs bank reconciliation and prepares bank entries
