Responsibilities:
To be responsible for all the administration duties on a healthcare site. Ensures accuracy when producing reports and meets all deadlines set by the site and Derrycourt. Always follows Derrycourt policies and procedures in order to comply with GDPR (General Data Protection Regulations).
Specific Responsibilities:
- Ensure that Derrycourt’s confidentiality procedure is followed at all times.
- Follow the GDPR (General Data Protection Regulation) with regards to all administration on site.
- Be responsible for the administration of Internal Time & Attendance software
- Creating employee profiles
- Importing employees and adding to rosters
- Creating rosters
- Making amendments to the rosters
- Approving employee clock-ins and highlight any issues
- Inputting holidays
- Publishing employee timesheets
- Pulling all relevant reports
- Ensuring that the employee rostered hours are in line with client requirements
- Escalating any payroll queries to Healthcare Site Manager or Payroll Department in Head Office as appropriate.
- Keeping record of the stock on site and order stock as and when required following the stock ordering procedure.
- To process the equipment defect reports to Head Office.
- Responsible for recording accidents/incidents, assist supervisors with completing the forms and follow the reporting procedure on site.
- Creating and maintaining the monthly KPI (Key Performance Indicator) report . Ensuring the report is an accurate reflection of all activities on-site.
- Communicate professionally and clearly with the client and all levels of employees.
- Communicate professionally and clearly every day with the Healthcare Site Manager and Healthcare Manager.
- Filing of appropriate hard and soft copies of documentation i.e. Site Induction Training, return to work forms, minuting meetings with staff, etc.
- Creating and updating all employee training records. Maintain training matrix, plan and assist in scheduling staff for training.
- Creating of documents/templates as required at site level
- Updating of the Periodic Planner to ensure annual targets/standards are being met – escalate non-conformances/issues to Site Manager.
In addition, we will require our Admin staff to perform any other reasonable duties that arise on an ad-hoc basis as requested by your manager
