Description:

POSITION SUMMARY

As directed by the Associate Registrar of Student Records & Systems this position will be responsible for identifying and facilitating opportunities for the configuration maintenance, development and enhancement of the different systems used within the Office of the Registrar with a primary focus on the College’s student information system, Ellucian Colleague.
The role will also ensure that the correct business functionality, requirements, and industry standards are addressed within the business process and systems. The successful individual will be required to work in a collaborative and supportive role with all staff in the Office of the Registrar, faculty areas, and service departments. This position will also work closely with Business and System Analysts in IT to test and implement solutions involving process changes, Colleague configuration changes and/or application development.
The successful candidate will need to become an expert and business process lead in order to facilitate future development work for several different modules within the Student Information System. Business process lead activities will include system configuration, business processes reconfiguration, documentation, and user acceptance testing (UAT).
As a conduit between the Office of the Registrar and other service areas the incumbent will analyze the needs of those areas in conjunction with the Registrar’s Office, to find a collaborative solution that keeps the student in the forefront. The position requires the ability to gather all information, synthesize appropriate data and recommend solutions that meet the needs of all stakeholders.
The incumbent has general expertise in the operation and configuration of the college’s SIS (Colleague) including requirement gathering and analysis, business process design, functional software specification, system configuration and system testing. The incumbent will be able to write business procedures and provide clear and accurate training material to support staff on new and revised processes resulting from a technological change.

REQUIRED EDUCATION & EXPERIENCE

  • Bachelor’s degree in discipline relevant to the position.
  • Minimum of 5 years of demonstrated business process experience in relational databases, records management, production if training material, presentations and facilitation. Experience in a post-secondary education environment and/or business analysis or project management is preferred.

REQUIRED KNOWLEDGE SKILLS & ABILITIES

  • The successful candidate will be analytical with an aptitude for problem-solving complex systems information issues and an advanced understanding and extensive demonstrated experience in the implementation and maintenance of relational databases, particularly student information systems (Colleague preferred).
  • Demonstrates a strong ability to plan and coordinate small system advancement projects to improve or advance the use of the College’s student information system.
  • Excellent written and verbal communication skills, including the ability to write business process procedures and documentation and communicate student systems information to non-technical end-users.
  • Capability to facilitate training through effective presentation, feedback, and coaching.
  • Demonstrated knowledge of syntax and/or HTML language
  • Advanced skills in the Microsoft Office Suite
  • An understanding of post-secondary education operations, policies and procedures
  • Awareness of Freedom of Information and Protection of Privacy Act (FIPPA).

Responsibilities:

  • Provides business process analysis for the enhancement, development, testing and implementation of system solutions related to student systems.
  • Provides system support and change management leadership for testing and training of system functionality during upgrades and enhancements.
  • Provides direction and business process advice regarding student systems and data to Student Services staff and other NIC departments.
  • Analyzes processes and develops data models and procedures to maximize efficiencies and maintain data integrity. Works in collaboration with IT Application Services, Institutional Research and other information technology personnel to provide functional support and direction on modifications and upgrades.
  • Provides guidance and information on Registrar’s Office business cycles with respect to timing and implementation of upgrades.
  • Supports the Associate Registrar, Student Records & Systems in the development and yearly maintenance of the College’s tuition bylaws.
  • Responsible for the development, implementation and accuracy of student tuition rate tables and related student tuition and fees coding.
  • Collaborates with Student Services and other areas to assess needs by collecting information pertaining to work procedures, analyzing current workflows, and reports.
  • Resolves data inaccuracy patterns and issues, and manages risk through gap/redundancy analysis, investigation of causes, and implementation of solutions to ensure the accuracy and integrity of student data and increase efficiency and effectiveness.
  • Resolves high level Service Desk tickets and receives calls related to Colleague Student Module and Student Services myNIC issues.
  • Coordinates advance systems training and support, which includes but is not limited to, Perceptive Content, myNIC, Education Planner BC as well as day to day ongoing support to the SIS user community. This includes developing and maintaining all training videos and documentation, written manuals, PowerPoint presentations, for both staff and student use.
  • Builds, tests and maintains cyclical tuition rate tables and related tuition and fees implementation.
  • Maintains and updates all instructions and training documentation related to student information systems.
  • Understands and able to performs backup or additional support for several positions in the Student Records & Systems portfolio.
  • Any other duties as assigned by the Associate Registrar that are within the scope of the position responsibilities.
