Description:

SKILLS/EXPERIENCE/QUALIFICATIONS:

  • Previous and demonstrable experience as a Gatehouse Operative with strong administration background
  • IT literacy in basic Microsoft packages (Word, Excel, PowerPoint, Outlook)
  • High level of accuracy and attention to detail.
  • Excellent verbal, written and organisation skills with the ability to communicate with all levels of stakeholder management
  • Sound knowledge and understanding of 3PL/Warehouse/Logistics background
  • Knowledge and experience with WMS and knowledge of warehouse site systems and processes
  • Professional and approachable with a solution focussed work ethic
  • Pro-active at all times with the ability to work on your own initiative
  • PPT licence would be desirable. In house training can be provided.

Responsibilities:

THE ROLE:

Supporting the operational excellence of the site reporting and administration functions. Directing visitors to business sites, answering phone calls and directing them to the appropriate department and responding to emails appropriately.

KEY RESPONSIBILITIES:

  • Assist the Site Management team providing effective communication between gatehouse and site and deliver excellent administration support
  • Answering and directing telephone calls to the relevant department/person
  • Responding to emails and escalating to relevant person when required; sending emails to employees of incoming calls when they are unavailable to take the external call
  • Booking vehicles in/out of site, creating reports relating to trailer activity
  • Investigate customer discrepancies and facilitate a manual resolution or escalate as appropriate
  • Liaising with the Shift Manager and Warehouse operatives to allocate vehicles to bays
  • Collaborate with transport department over late/missing vehicles
  • Maintain site security, completing daily site walks and reporting any risks or safety issues and defects
  • Pick and pack on contracts as and when required.
  • Process returns as they come back to the warehouse and book collections.
  • Collection and completion of weekly Agency timesheets and regular liaison with agency directly regarding agency employees on site
  • Assist and provide support to the Inventory Controller as and when required
  • Contact suppliers for quotes/collections e.g., wrap, skip and pallet collections
  • Raise purchase orders as requested by Senior Management
  • Flexible hours of working may be required for holiday cover etc.
