About the Role:
The Global Document Services Specialist I is an integral part of Latham’s Global Document Services (“GLODOCS”) team. This role will be responsible for performing a variety of core document support duties such as creating, editing, and otherwise manipulating legal documents and other work product for attorneys and staff, while completing various projects in Word (e.g., converting and formatting documents, generating tables of contents ("TOC") and tables of authorities ("TOA") and automating cross-references). This role will be located in either our New York or Los Angeles office. Please note that this role may be eligible for a flexible working schedule that allows for a hybrid and in-office presence.
Please also note, the schedule for this role will be Monday – Friday from 1:00 PM - 9:00 PM ET / 10:00 AM - 6:00 PM PT.
Responsibilities & Qualifications:
Other key responsibilities include:
- Completing various projects in Word, including creating new documents, formatting, generating Table of Contents and Table of Authorities, and adding cross-references
- Completing various projects in Excel, including creating new workbooks/sheets, formatting cells/tables/rows/columns, and using simple formulas
- Completing various projects in PowerPoint, including revising slides, inputting/revising text, inserting graphics, and formatting/reapplying slide design and layout
- Utilizing Acrobat Professional to compress .pdf files, create searchable and non-searchable .pdfs, apply Bates numbering and crop pages as needed
- Proofreading documents when necessary
- Protecting and maintaining any highly sensitive, confidential, privileged, financial, and/or proprietary information that Latham & Watkins retains
We’d love to hear from you if you:
- Possess functional knowledge of applications typically used in a legal word processing environment, such as MS Office Suite, Acrobat Professional, iManage, ABBYY FineReader / OmniPage, Visio, and other software
- Possess the ability to learn new software and procedures
- Demonstrate well-developed and professional interpersonal skills; ability to interact effectively with people at all organizational levels of the firm
And have:
- A high school diploma or equivalent; a bachelor’s degree, preferably
- Microsoft certifications in Word, Excel and PowerPoint, preferably
- A minimum of two (2) years of related experience working as a document specialist at a professional services organization
