QUALIFICATIONS

We’re also looking for the following technical competencies:
1-3 years’ experience in payroll.
 Working knowledge of non-profit/fund accounting and ADP payroll system.
 Understanding of U.S. and international payroll compliance.
 Computer skills and knowledge of various payroll systems to include ADP
 Detail-oriented, organized and respect for accuracy in numbers is essential.
 Ability to work under pressure and meet deadlines.
 Ability to work well under pressure with distractions
 Highly motivated self-starter
 Excellent communication, interpersonal and team skills
Salary: $23-25/hour

Responsibilities:

Based in Minneapolis, you’ll be guided by and receive support from the Payroll Manager and the Compliance, Compensation and Benefits team. Simply put, your purpose will be to be ensure that employees of Alight are paid accurately and on-time and that all the corresponding documentation is compliant and audit-ready at all times.
In this role, you will support the Payroll Manager and the Compliance, Compensation, and Benefits teams to ensure the accurate and timely processing of payroll for Alight employees across multiple countries. This position is ideal for someone with previous experience in payroll processing, eager to work in an entry-level but complex international payroll environment. You will be responsible for ensuring payroll compliance with internal policies, local and international regulations, and maintaining audit-ready documentation.
You’ll know you’re doing well if you perform established payroll practices and ensure compliance with ALIGHT policies and procedures for the payroll activities of the organization Government donor compliance.

Payroll Processing and Administration-90% of the time

  • Payroll Data Entry & Maintenance: Accurately input and maintain employee data within the payroll system, This may include new hires, terminations, salary changes, and other payroll adjustments.

Timesheet Review & Reconciliation: Review online timesheets for accuracy, follow up with employees and supervisors to resolve issues, and reconcile timesheet discrepancies to ensure payroll accuracy.

  • Payroll Calculations: Assist in calculating employee wages, overtime, bonuses, deductions (such as taxes, benefits, and garnishments), and other payroll adjustments as needed.

  • Payroll Preview & Verification: Assist in verifying payroll accuracy by running payroll previews, cross-checking data with HR and department heads, and preparing payroll summaries for approval by the Payroll Manager.


  • Processing Payroll Payments: Enter and process salary wire payments and direct deposits, ensure bank account details are accurate, and maintain up-to-date wire transfer templates.

  • Record Keeping & Documentation: Maintain detailed payroll records for all employees, including wage rates, tax withholding, leave balances, and deductions. Ensure all employee payroll files are complete and organized.

  • Benefits & Deductions Management: Assist with processing payroll deductions for health benefits, retirement contributions, and other deductions, ensuring accuracy and compliance with benefits plans.

  • Employee Communication: Respond to payroll-related inquiries from employees, including questions about paychecks, tax withholdings, and benefit deductions, providing clear and timely answers.

  • End-of-Cycle Reporting: Generate and distribute per pay period, quarterly, and annual payroll reports such as 941/940 filings, W-2s, and other required documentation for both internal and external stakeholders.

Audit and Compliance Support-10% of the time

  • Audit Preparation: Assist with preparing payroll documentation for internal and external audits, ensuring that all records and reports are accurate, complete, and audit-ready at all times.

  • Compliance Monitoring: Support the Payroll Manager in ensuring payroll compliance with all relevant laws and regulations, including government donor compliance and adherence to Alight’s internal policies and procedures.


  • Document Filing & Retention: Maintain payroll records, tax filings, and employee documentation in an organized manner to ensure easy access during audits or compliance reviews.

  • Year-End Procedures: Assist with year-end payroll processing tasks, such as preparing and distributing tax forms (W-2s, 1099s) and ensuring accurate reporting of income and deductions.

Additional Payroll Duties:

  • System Maintenance: Work with the Payroll Manager and IT to troubleshoot any system issues and ensure the ADP system is updated and functioning correctly.

  • Cross-Department Collaboration: Collaborate with the HR, Finance, and Benefits teams to ensure seamless coordination and integration of payroll data with other business functions.


  • Process Improvement: Assist in identifying areas for process improvement and efficiency within payroll operations, suggesting ways to enhance accuracy and reduce processing time.

  • Onboarding Support: Help with the onboarding of new employees by explaining payroll procedures, timelines, and necessary forms for direct deposit and tax withholding.

  • Leave Accrual & Adjustments: Monitor and update leave accruals and balances for employees, making necessary adjustments and reconciling data at the end of the year.
