Description:
Title: Global Sourcing Assistant
Reports to: Director of Global Sourcing
Based at: Mucci Farms, Kingsville, ON
Revision Date: November 7, 2024
Type of Employment: Full-Time, permanent, 5-days a week; and some additional hours which may include Saturdays, depending on workload, priorities and travel requirements. For internal purposes, this position is known as a Administrative Assistant.
KNOWLEDGE, SKILLS AND ABILITIES:
- Post secondary degree/diploma in business or public administration or related field, or an equivalent combination of education and experience
- Proven experience as an administrative assistant, executive assistant or in other administrative position
- Full comprehension of office management systems and procedures
- Excellent knowledge of MS Office – Word, Excel, and PowerPoint
- Proven ability of exemplary planning and time management skills
- Ability to multitask and prioritize daily workload
- Ability to communicate in a clear and concise manner, (verbal, written) to all levels of the organization
- Ability to communicate effectively in Spanish, (verbal, written) would be an asset
PHYSICAL ABILITIES:
- Must be able to sit, stand, and/or walk for extended periods of time.
- Must be able to bend, stretch, twist, or reach with body, arms, and/or legs.
- Must be able to lift material regularly up to 14 kg / 30 lbs; and occasionally up to 23 kg / 50lbs
- Must be able to climb stairs and stand on feet for an extended period of time.
- Must be able to work in a temperature-controlled environment of approximately 13 ˚C / 55 ˚F.

Responsibilities:
- Provide high level administrative support to the Director and Global Sourcing Managers - orchestrating schedules, coordinating meeting, and handling travel and expense reports
- Support with Grower events, working with Marketing and Mexico Team
- Draft and review correspondences and documents for Director of Global Sourcing; conduct research and analyze information for upcoming business proposals and reports
- Managing corporate credit card expenses, calendars, travel arrangements, and correspondences for Director of Global Sourcing
- Handle sensitive financial information with professionalism, respect and the utmost of confidentiality and discretion
- Managing the day-to-day schedule for the Director
- Organize and maintain files and records
- Arrange and co-ordinate meetings and events, (Grower events, working with Marketing and Mexico Team)
- Undertaking the tasks of receiving calls, take messages and routing correspondence
- Handling Directors’ requests and queries appropriately
- Develop and carry out an efficient documentation and filing system
- Perform basic administrative tasks, (photocopying, mailing, filing, and setting sending memos, accepting visitors, reviewing incoming reports)
- Other duties and responsibilities as assigned
