The Job
The PRO/GRO will act as a one stop coordinator for all the visa related issues like issuance of different types of visas, renewals, extension, applying for the visa quotas, managing government portals, updating the GOSI, Mudad, Ministry of Labor requirements, supporting all the staff related matters and also supporting the HR department with other admin duties as per the requests.
Responsibilities
- Keeping the track of all the employee legal documents and ensuring all administrative duties are kept up to date and legally compliant.
- Managing and supervising all duties of Government Relations Officer (GRO)
- Preparing all employee related application for GRO
- Paying all government payment/fee using company tools and account
- Providing reports to the HRBP and country Lead.
- Following up all traffic violation payment and clear it from company record.
- Following, renewal, maintain all company documents such CR, Saudization, GOSI, Tax etc.Communicate with all employees and their management for all government requests.
- Keeping all documents required by governmental agencies while processing them and submitting them to concerned employee.
- Coordinate with all agencies for processing work visa.
- Coordinate with HR and update them for new hiring status.
- Provide report on monthly basis for all government relation processes.
- Coordinating with Staff regarding personnel issues related to governmental applications as required.
- Communicating with Governmental entities to issue licenses and other related documents as required
- Insurance: Adding/Removal for all new joiners and dependents as well as leavers. This applies to all renewals as well for KSA employees and dependents (filling out census forms for all), KYC forms, other related forms.
- Performing other duties related to the job as assigned by HRBP and country Lead
Below services are expected from GRO:
Issuing Exit-Reentry visas Issuing (Letter of Invitation) LOI and documentation for Business and Work Visit visas (this is the most frequent activity) New passport update in System Preparing documentation for Site IDs Accompanying AVEVA resources to site for Site IDs Issuing Company letter which requires Chamber of Commerce attestation Be available in emergency situation as Company representative for Government related matters Preparing the documentation for issuing Iqamas of new expat joiners Handling QIWA portal for local transfers of new expat joiners Issuing GOSI report Assisting AVEVA resources (with Arabic language barrier) where visit to Government departments is required (Like Zawazaat, Maroor, Driving Licenses etc.) Issuing the Nitaqat status of entity
Skills & Qualifications
- Diploma from Administration institute or equivalent
- A minimum of 5 years of experience in a related field
- Professional Knowledge in Labor Office and Immigration and Governmental Regulations
- Professional knowledge of administrative procedures and policies applied at the Company
- Professional knowledge of Governmental Procedures in issuing licenses and other related documents.
- Good command of Arabic, and fair in English
