Description:

Overview:
We are seeking a reliable and organized GP Receptionist/administrator to join our team. As the first point of contact for 30 Kingsway Surgery, the Receptionist plays a crucial role in providing excellent customer service and creating a positive impression for patients and visitors. The ideal candidate will have strong administrative skills, exceptional phone etiquette, and the ability to multitask in a fast-paced environment.
Administration responsibilities:
- To have a through knowledge of all practice procedures
- To work in accordance of written protocols
- Pulling/filing notes for summarising and updating as necessary
- Filing/scanning post into medical records
- Perform general clerical duties, including photocopying, faxing, mailing, and filing
- Completing/filing electronic documents through workflow
- Completing tasks
- Registrations of new patients - computer data entry and medical records
- Process patients’ change of address - computer data and medical records (have knowledge of practice area
- Process repeat prescription requests in accordance with practice guidelines
Reception responsibilities:
- Greet and welcome patients and visitors in a friendly and professional manner
- Receive and make telephone calls
- Provide information to patients, book appointments, take messages, and transfer calls as necessary
- Liaise with clinicians, internal and external
- Assist with data entry tasks and maintain accurate records
- Be able to cover all reception positions as necessary
Other tasks:
- Ensure security of data at all times
- Ensure building security - have through knowledge of doors/windows/alarm, report and document any problems to the line manager.
- Any other tasks allocated by managers/clinicians
Experience:
- Proven experience in an administrative or receptionist role preferred
- Proficient computer skills, including knowledge of Microsoft Office Suite (Word, Excel, PowerPoint)
- Excellent phone etiquette and strong verbal communication skills
- Ability to type accurately and efficiently
- Strong organizational skills with attention to detail

Health & safety:
The post-holder will assist in promoting and maintaining their own and others’ health, safety and security as defined in the practice health & safety policy, the practice health & safety manual, and the practice infection control policy and published procedures. This will include:
- Using personal security systems within the workplace according to practice guidelines
- Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks
- Making effective use of training to update knowledge and skills
- Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards
- Actively reporting of health and safety hazards and infection hazards immediately when recognised
- Keeping own work areas and general/patient areas generally clean, assisting in the maintenance of general standards of cleanliness consistent with the scope of the job holder’s role
- Undertaking periodic infection control training (minimum annually)

Person Specification Qualifications
Essential
- English qualification GCSE grade C or high or equivalent
