Description:

QUALIFICATIONS:

The incumbent must possess the following qualifications:

  • Able to work independently using good judgment and intuition; must be able to prioritize and schedule a variety of tasks to meet deadlines; and must be able to work with and maintain confidentiality of documents, records or files being handled.
  • Familiar with the Graduate calendar regulations and deadlines and with University regulations and procedures.
  • Have a thorough knowledge of office procedures and be familiar with computer applications in the workplace.
  • Capable of handling changes regarding updates to software and equipment that improves the department’s administration capability.
  • Familiar with Web technology as the incumbent in this position is responsible for maintaining and updating the departmental web site.
  • Have the ability to discretely prioritize numerous demands for secretarial and administrative support and to maintain effective and satisfactory working relationships with faculty, other support staff and students is essential.

EDUCATION AND EXPERIENCE:

The above is normally acquired through:

  • Completion of secondary school, plus at least two additional years of post-secondary education at the college level, including training in document management and standard office technology.
  • Five years of relevant work experience, preferably in a post-secondary setting; experience with computer applications is essential.

Responsibilities:

With some direction from the Chair, Associate Chair, and Departmental Administrator and Assistant to the Chair, the Graduate Administrator is the chief contact person for potential, current, and past graduate students; responds to queries and gives advice on graduate program related matters; responds to or redirects referrals on technology related matters; maintains databases on potential, current, and past graduate students, providing statistics and reports from them as required; is responsible for the development and management of the departmental web site; provides administration assistant to professors; performs other duties as required. The incumbent must be able to work independently using good judgment and intuition; must be able to prioritize and schedule a variety of daily tasks to meet deadlines; and must be able to work with and maintain confidentiality of documents, records, or files being handled; incumbent must be familiar with the Graduate Calendar regulations and deadlines, and with the University procedures, and be able to handle changes regarding updates to software and equipment that improve the department’s administration capability.
