About the Role
We are seeking a highly organized and results-driven Head of Agency Operations to join our full-service marketing agency in Hamilton, Ontario. Reporting directly to the Vice President of Integrated Marketing, the Head of Agency Operations will play a crucial role in enhancing the operational efficiency of our agency. You will be responsible for ensuring that all projects are executed on time, within budget, and meet our profitability targets. Your focus will be on streamlining processes, optimizing resource allocation, and driving continuous improvement across the agency. The ideal candidate will have extensive experience in operations management within a marketing or digital agency environment. What You’ll Do

Operational Efficiency

  • Develop and implement operational strategies to improve efficiency and productivity that align with the agency’s overall goals and objectives
  • Monitor and analyze key performance indicators to track operational performance and prepare regular reports for senior management to highlight achievements, challenges, and opportunities for improvement
  • Review and improve internal workflows and processes to streamline operations, enhance productivity, and maintain high quality standards
  • Identify potential risks to operations and develop mitigation plans

Project Management

  • Oversee the execution of all client projects, ensuring they are completed on time and within budget, ensuring client satisfaction and managing expectations
  • Collaborate with account managers to allocate resources effectively and optimize project plans
  • Implement best practices in project management to enhance delivery quality and client satisfaction

Financial Management

  • Manage the agency’s operational budget, ensuring financial targets are met
  • Conduct financial analysis to identify cost-saving opportunities and improve profitability
  • Work with the finance team to track project costs and ensure accurate invoicing

Process Implementation & Improvement

  • Identify and implement process improvements to enhance operational efficiency
  • Stay updated with industry trends and best practices in operations management
  • Drive the adoption of new tools and technologies to improve workflow and productivity
  • Implement and maintain our project management and business intelligence tools

Team Development

  • Lead and mentor the account team from an operational perspective, fostering a culture of continuous improvement
  • Provide guidance and support to account managers and other team members
  • Promote collaboration and communication across departments to achieve operational goals

What You’ll Bring to the Role

  • Bachelor’s degree in Business Administration, Operations Management, or a related field (Master’s degree preferred)
  • 8-10 years of experience in operations management, preferably within a marketing or digital agency environment
  • Strong project management skills with a proven track record of delivering projects on time and within budget
  • Excellent financial acumen and experience managing budgets and financial performance
  • Proficiency in operations management tools and software (e.g., Forecast App, MS Project, Asana, Monday.com)
  • Exceptional leadership and team management abilities
  • Strong analytical and problem-solving skills
  • Excellent communication and interpersonal skills
  • Relevant certifications such as PMP (Project Management Professional) or Lean Six Sigma are a plus
  • A drive to develop range by learning new skills that expand your expertise

Nice to Have

  • Experience with digital marketing and advertising operations
  • Familiarity with agile project management methodologies
  • Knowledge of quality management systems and standards
  • Experience with change management and process re-engineering
