QUALIFICATIONS

Candidates must have at least a high school diploma; an Associate’s Degree or Bachelor’s Degree is preferred. Progressive experience as an administrative assistant or in a similar role is required, with experience managing finances in a school setting being highly desirable. The candidate should possess a strong knowledge of business office procedures, practices, equipment, and office terminology. Additionally, they should either have a good understanding of the procedures and operations of the assigned school or be able to quickly learn them. Excellent organizational, human relations, and communication skills are essential. Proficiency in Microsoft Office Suite and other relevant software applications is required.

The Head School Secretary is responsible for overseeing the administrative functions of the school office, ensuring efficient and effective operations. This role involves managing clerical tasks, supporting the school administration, and serving as a primary point of contact for students, parents, staff, and visitors. The Head School Secretary plays a critical role in maintaining the smooth running of the school by coordinating various office activities and ensuring compliance with school policies and procedures.

Responsibilities:

  • Manage the daily operations of the school office, including supervising clerical staff.
  • Maintain and organize school records, files, and databases.
  • Handle incoming communications, including phone calls, emails, and mail, and direct them to the appropriate parties.
  • Assist in the preparation and management of the school budget, including processing purchase orders and managing financial records.
  • Schedule and coordinate meetings, appointments, and events for school administration.
  • Prepare and distribute school communications, including newsletters, announcements, and reports.
  • Manage student enrollment, attendance records, and related documentation.
  • Provide administrative support to the principal and other school staff as needed.
  • Ensure the office is well-maintained, organized, and stocked with necessary supplies.
  • Respond to inquiries from students, parents, staff, and the public in a professional and courteous manner.
  • Perform other related tasks as necessary.
