DESCRIPTION

SUMMARY: The Administrative Assistant is a critical member of the Head Start team and the Youth & Child Unit. Primary responsibilities are to provide administrative and clerical support to members of the management team, program manager, and Youth & Child Unit so that internal processes are smooth and efficient.

REQUIREMENTS

QUALIFICATIONS: The individual must be able to perform each essential duty satisfactorily. This position requires strong written, oral, organizational, and computer skills and knowledge of general office equipment. Must pass a physical examination and criminal background check. EDUCATION AND EXPERIENCE: High school graduate or GED is required.

SALARY DESCRIPTION

$43,918 -$57,04

Responsibilities:

  • Assist with Head Start application process and data entry into Child Plus software.
  • Maintain the Monthly Data reports for accuracy.
  • Develop and maintain all in-kind reports for the program.
  • Assist with preparing for monthly Policy Council and Management Team meetings.
  • Record meeting notes for the Policy Council and Management Team meetings.
  • Maintain a Teams folder for the Policy and Management Team meeting notes, agenda and agenda items.
  • Submit purchase requests for the Head Start Central Office and assist with village-based purchase requests when needed.
  • Create and update Head Start staff travel and reconciliation.
  • Maintain Program Operations and Central Office Calendar and revisions.
  • Assist Head Start Manager in grant preparations.
  • Assists in putting any Head Start Program data into the appropriate software.
  • Maintain organization of the program’s electronic and paper filing systems.
  • Work closely with the accounting department for purchases on behalf of the program.
  • Answer all questions regarding purchasing.
  • Responsible for general clerical duties as assigned.
  • Maintain strict confidentiality.
  • Other duties as assigned.
