Join Our Team as an Administrative Coordinator at HI USA New York City Hostel!
Are you detail-oriented and eager to support the efficient operations of a dynamic hostel? Join Hostelling International USA at our vibrant New York City hostel, located in the Upper West Side. We are currently accepting applications for a full-time Administrative Coordinator who will manage basic accounting, payroll functions, and special projects aimed at improving hostel processes and procedures. Both English and Spanish language fluency and literacy are required.
Position Details:
Pay: $24.00 – 28.50 per hour
Type: Full-time, benefit-eligible

Responsibilities:
- Review, reconcile, and analyze daily end reports; prepare daily bank deposits
- Manage cash banks and ensure internal controls are followed to prevent mishandling
- Assist in managing change banks and reconciling discrepancies
- Work with management to address and rectify any violations issued by government agencies
- Conduct thorough investigations and document guest or staff incidents on the property
- Maintain and update guest emails and reviews
- Create and maintain standard operating procedures, checklists, and training manuals
- Oversee the onboarding and offboarding process for all staff
- Coordinate and prepare special projects or meetings, including employee recognition programs and events
- Monitor and report on computer and printer workstations; coordinate with IT for technical support
- Attend and take minutes during various hostel meetings
- Sort and manage incoming mail and parcels
- Maintain office supplies, track inventory, and place orders as needed
- Support hostel management with other back-office tasks and special projects
Skills/Qualifications:
- High School Diploma or GED with a minimum of two years’ experience in bookkeeping, administrative, or back-office roles
- Proficiency in Microsoft Word and Excel; strong written and verbal communication skills
- Both English and Spanish language fluency and literacy are required.
- Experience in travel or hostelling preferred
- Ability to collaborate with hostel teams and Central Office teams
- Experience with Property Management Systems preferred
- Ability to work evenings, weekends, and holidays as required
PHYSICAL REQUIREMENTS:
- Regularly required to sit, stand, walk, reach with hands and arms
- Occasionally required to climb, balance, stoop, or crouch
- Must be able to lift and move up to 50 pounds
- Vision abilities required: close, peripheral, color vision, depth perception, and the ability to adjust focus
- Noise level in the work environment is usually moderate
