The HR Admin will partner with the HR Team to execute HR strategies and programs and at the same time working/supporting the Operational Team. A successful candidate will support various areas of the Human Resources Department/Operations such as hands-on support on talent management, recruiting, onboarding and offboarding, compensation, benefits management, employee relations and engagement, performance management, training and development, and more. This role is expected to have a 50/50 split between HR and Administrative duties.
Responsibilities:
Updates BambooHR and ensures organization and accuracy of employee e-files.
Manages incoming employee and shareholder requests and responds within a timely manner.
Assists with Benefits administration (enrollments, terminations, employee data changes).
Provides support for the New Hire Onboarding and offboarding process activities such as new employee administration, and coordination with different stakeholders and service providers.
Assists with the Joint Health and Safety Committee and participates in Audit activities if needed.
Supports Employee Surveys process and training sessions.
Works with the Social Committee to plan and execute employee engagement events.
Supports HR team with recruitment cycle administration including job postings, internal coordination and agency candidates’ management in ATS (BambooHR), phone pre-screens & interviews scheduling, test administration, background and reference checks, and package preparation.
Assists with providing evidence for SOC audit on a yearly basis and ensures we are following the correct processes during the year.
Contributes to building Employer image both internally and externally.
Handles incoming and outgoing admin related correspondence and ad-hoc tasks and projects as assigned.
Contributes to the Employee Community board and creates its content.
Administrative activities such as collaboration with different partners to address and manage vendor-related matters, ensure timely delivery and receipt of important documents, etc.
Supports the Operations team in additional tasks as time allows

High school diploma or equivalent (Bachelor’s degree in a related field is a plus).
Proven experience in office administration or a similar role, preferred in an HR capacity.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Proficiency in Google Workspace (Docs, Sheets, Slides, Gmail).
Familiarity with HR practices, governance, legislation, and regulatory environment is desirable.
Experience with Bamboo HR, Confluence, Slack and Zoom is desirable but not required.
Ability to lift and carry objects may be necessary for assisting with event setup, etc.
The Work Environment
Our mid-sized office environment is in a great location downtown - we are right by St. Lawrence Market, close to the Distillery District, and 10 minutes away from the Financial District! Work may be in-office, remote, or hybrid, collaborating with other team members in-personal and digitally during regular business hours. We offer a flexible schedule, however, some work outside of normal business hours may be required on occasion due to time-constrained activities or collaborating with remote teams
