Description:

The HR Admin Assistant will play a key role in supporting the HR Department by handling a variety of administration tasks related to employee management, recruitment, IR and onboarding. The role is typically focused on ensuring that the HR Processes runs smoothly and efficiently. Please note that this will be a Fixed Term Contract for 6 months.

Responsibilities:

  • Post Job openings on notice boards, screen applications, schedule interviews and assist with the hiring process.
  • Coordinate the onboarding process for new hires, including preparing documentation and ensuring a smooth integration into the company.
  • Maintaining and updating employee records on the HR System.
  • Act as a point of contact for general HR inquiries.
  • Ensuring the Recruitment Tracker, IR Tracker, Probation Tracker and JD tracker are updated on a weekly basis.
  • Assist with scheduling of meetings, maintaining HR Filing systems, preparing HR Documents and supporting HR Projects.
  • Assisting with the preparation of HR Documents such as employment contracts, disciplinary letters.
  • Supporting the day-to-day administrative functions of the HR Department.
  • Liaise with external trainers to confirm training details, book training venues, ensuring employees are notified about upcoming training sessions.
  • Keep accurate record of training certificates and progress.

Requirements:

  • A degree in HR or Industrial Psychology.
  • Proficient in MS Office (Word, Excel, PowerPoint).
  • Ability to handle confidential information with discretion.
  • Strong attention to detail and accuracy in record keeping.
  • Comfortable with a Fixed Term Contract for 6 months.
