HR Administrator, 4 days office based 9 - 5, 1/2 hour lunch, £29k pro rata

Main purposes of job
To provide accurate and efficient administration of all personnel data accurately
Support the charity’s founder, trustees and management in all HR related issues and queries
Key tasks
Run the monthly payroll with external provider ensuring all the information is accurate and timely including starters, leavers, employee changes and sickness/absence records information.
Assisting in managing offer letters, contracts and new starter paperwork including induction and probationary review paperwork.
Managing leavers and contractual changes.
Ensuring that personnel records are maintained including the electronic database to record absence and holidays ensuring compliance with legal requirements including GDPR legislation. The database used is BrightHR and knowledge of this would be desirable.
Act as systems administrator to ensure all HR Databases accurately reflect current staff details. This includes inputting starters and leavers, contractual amendments, change of details, annual leave and recording of sicknesses and other leave.
Supporting in the recruitment process, writing and placing adverts, help shortlisting, organise and timetable interviews.
Managing the reference request process for new starters.
Assisting in the preparation and rollout of HR documents
Setting up templates and spreadsheets for employee forms and for management use.
Answer employee queries on HR related matters.
Good understanding of and able to carry out Right to work checks.
Excellent communication skills to co-ordinate data from two veterinary clinics, a sanctuary, charity shop and the Head Office.
Able to assist management with disciplinary and grievance procedures.
Update professional insurance database for new and leaver veterinary surgeons and veterinary nurses.
Run regular reports from the employee clocking systems.
Carry out all ad hoc tasks as instructed by managers.
Providing other administrative support to managers and the charity’s other functions
Knowledge and Competencies
Knowledge and understanding of employment law principles
Understanding and adherence to GDPR protocols
Expert user of Microsoft applications
Excellent written and verbal communication skills
Identifies problems and seeks solutions

Pay: Up to £23,309.00 per year
Expected hours: 35 per week
