Description:

PIPECARE Group is one of the leading in-line inspection companies worldwide with over 20 years of experience providing in-line inspection.
PIPECARE Group is looking for an HR Administrator who will support PIPECARE Human Resources and Administration related activities assuring that PIPECARE Human Resources and Administration System is maintained and all possible improvement areas are identified and adhered to. HR Administrator will coordinate employee service requirements and concerns of PIPECARE, which includes and are not limited to areas such as: fulfillment of employee requests, employment documentation, filing of records, etc.

Key Responsibilities & Authorities:

  • Manage and increase the effectiveness and efficiency of Human Resources Department by assuring the timely coordination and communication of all HR-related issues between regional and Head Office central offices.
  • Assist in the recruitment process by arranging interview schedules, screening CVs, and handling follow up.
  • Coordinate administrative tasks such as visa processing, employment requirements, legalization of documents, medical insurance, opening bank accounts for employees, and other HR requests
  • Keep records of all leaves including Annual Leave, Personal leaves, Sick leaves, Field Breaks, etc.
  • Execute Employee Clearance and Handover related activities for Annual leaves, Emergency Leaves, Field Breaks, Termination / Resignation, etc. Employee ticket booking related activities for the listed matters.
  • Create Personal files (Hard files) and E-files for new employees, maintaining the labeling and filling system, scanning all the documents and following up on documentation.
  • Create profiles for employees in ERP, upload the salary details, and change in position/designation in ERP.
  • Monitor Daily Attendance for all LIN SCAN/PIPECARE employees and do the final approval in ERP for the payroll.
  • Prepare and maintain the salary adjustment file on the monthly basis, finalize and submit monthly payroll for further financial approval.
  • Update the Training Matrix and keep the records
  • Directly handle with employees to solve mostly minor issues or concerns of the employees.
  • Prepare and keep the records of all the HR-related documents like: job offers, employee contracts, probation confirmation letters, promotion letters, salary certificates, clearance and liability letters, warning and termination letters, etc.
  • Prepare Certificates for general assembly and coordinate with Office Assistants for certificates and refreshments
  • Handle the employee accommodation requests as per the Company policy.
  • Release employee passports and Gate Passes as per request. Issuing/Releasing labour cards
  • Attend Internal Meetings as requested by Supervisor.
  • Execute any other duties as assigned by Supervisor.

Accountability:

  • Keeps the employees’ files up to date and as per company standards
  • Monitors/approves daily attendance
  • Handles the employee relations for the assigned Territory
  • Submits monthly payroll on time as per approved scheduled

Knowledge, skills & abilities required:

  • Bachelor’s Degree in Administration or any other related field
  • Minimum 3 years of experience in HR Administrator’s role
  • Experience in complex organizations (multi-national, matrix, cross cultural, multi-location)
  • Strong Administration experience, ideally in a Recruitment function
  • Excellent communication skills and fluency in English
  • Ability to work proactively in a professional, confident manner
  • Ability to work under pressure and to tight deadlines

PHYSICAL AND MENTAL REQUIREMENTS:

  • Lifting and Carrying: Ability to lift and carry up to 50 pounds.
  • Mobility: Must be able to walk and climb to perform duties, including maneuvering within a refinery or plant environment and accessing elevated platforms via ladders and stairwells.
  • Communication: Sufficient clarity of speech and hearing, or other communication capabilities, to communicate effectively.
  • Focus and Multitasking: Ability to maintain focus and multitask effectively.
  • Safety Equipment: Must be able to wear safety equipment as required by the safety department for personal protection, if/where needed in manufacturing environments.
  • Personal Mobility and Reflexes: Sufficient personal mobility and physical reflexes, with or without reasonable accommodations, to perform office duties and travel to off-site locations when necessary.
