As an HR and Employee Happiness Specialist working student at Yokoy, you are responsible for supporting the smooth functioning of HR operations and fostering a positive office environment, combining both administrative HR tasks and office management duties. We are a product-driven company, and a visionary best-in-class product is the key to our customers’ success. Your role, which includes handling employee onboarding, office operations, HR documentation, and employee inquiries, is crucial for our continuous growth. Your contribution to creating an organized and supportive environment will help ensure that both employees and clients have a seamless experience, directly impacting our company’s operational success and employee satisfaction.
This is a working student position (12h) divided into 3 to 4 days a week.

Responsibilities:

  • Employee Onboarding & Support: You will be the first point of contact for new joiners, guiding them through the onboarding program to ensure a seamless integration into the company culture and environment.
  • Office Operations & Administration: You will oversee office operations by acting as the main point of contact for office-related questions, including managing office supplies, food, stationery, and IT inventory in coordination with the TECH department.
  • Client and Visitor Coordination: You will manage visitor registrations, keys, and office access, ensuring all visitors are welcomed professionally and that security protocols are followed.
  • Event Planning & Execution: You will organize and manage office-wide events and client-facing events, including planning, logistics, and execution, to enhance the employee and client experience.
  • HR Documentation & Support: You will support the HR team in administrative tasks related to employee life cycles, including preparing contracts, amendments, and updates to employee records.
  • HR Ticket System Management: You will answer employee queries and requests through the HR ticketing system, providing prompt, accurate, and helpful responses to ensure employee satisfaction.
  • Travel & Fleet Management: You will coordinate travel arrangements, manage travel cost bookings, and oversee fleet management to ensure smooth operational processes for employees.
  • Policy & Procedure Maintenance: You will update and maintain office and HR policies and procedures to ensure compliance and alignment with company goals and best practices.
  • ️ What you’ll need:
  • You are currently enrolled at a University in a Bachelor or Master’s program in Business Administration or a similar field. Specializations in Human Resources or related fields is appreciated but not mandatory.
  • You have a “can-do” attitude and an open and engaging personality.
  • You have experience in organizing events (employee or customer events).
  • You have gathered previousexperiences as an Office Manager/in Office management areas.
  • You have discretion and judgment in handling confidential and sensitive data.
  • You have an independent and well-structured way of working.
  • You are very motivated and able to multitask.
  • You know how to prioritize your tasks to achieve the best possible outcome together with our growing team.
  • You are a native German speaker and are fluent in English.
