Description:

Stanmore Medical Group are looking for an HR and Management Support Administrator. Hours and salary are negotiable at interview. If you are a proactive and adaptable individual with a passion for administrative excellence, we would encourage you to apply.
You will act as the first point of contact for HR-related queries from employees. Your main administrative duties include maintaining personnel records, managing HR documents (eg employment records and onboarding guides) and updating internal databases. Our ideal candidate has experience with HR procedures and can juggle various administrative tasks in a timely manner.

REQUIREMENTS

  • Proven work experience as an HR Administrator, HR Administrative Assistant or relevant role
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Ability to ensure employment laws are adhered to
  • Excellent organisational skills, with an ability to prioritize important projects
  • Strong phone, email and in-person communication skills

REQUIREMENTS

  • Strong understanding of HR principles and practices.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Having experience with SystmOne would be desirable.
  • Previous experience in the NHS/and or GP surgery
  • Excellent organisational and time-management skills.
  • Exceptional written and verbal communication abilities.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Attention to detail and accuracy in all tasks.
  • Ability to work independently and prioritise tasks effectively.

Responsibilities:

HR RESPONSIBILITIES

  • Organize and maintain personnel records
  • Update internal databases (eg record sick or maternity leave)
  • Prepare HR documents, eg employment contracts and offer letters
  • Revise company policies
  • Assist in performance appraisal processes and documentation.
  • Create reports as required on HR related issues
  • Answer employees queries about HR-related issues
  • Coordinate new hire orientation and onboarding activities, ensuring a smooth transition for new employees, including the processing of DBS checks.
  • Coordinate offboarding procedures, including exit interviews, equipment retrieval, and finalising paperwork.
  • Collaborate with relevant departments to ensure a seamless onboarding and offboarding experience.
  • Assist payroll department by providing relevant employee information (eg leaves of absence, sick days and changes in work schedules)
  • Participate in HR projects (eg new ways of recruitment, organise a job fair event)

MANAGEMENT SUPPORT RESPONSIBILITIES

  • Provide administrative support to the Management Team on a variety of issues in a timely manner
  • Attend Management meetings and record accurate minutes, ensuring key decisions and action items are documented.
  • Prepare and distribute meeting agendas and materials in advance.
  • Organise and maintain meeting minutes and related documentation for reference.
